Description
Role
This is a customer-facing role that manages enquiries administers and co-ordinates events and shorts courses for the University.
The postholder will ensure that systems data and event feedback are used effectively to provide the best experience for customers and other stakeholders.
This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently.
Duties and responsibilities
- Process practical skills training applications, assessment results and certificates
- Liaise with clients to understand their requirements and ensure all details are accurately documented and communicated to the relevant departments
- Administer quotations, booking confirmation and deposit collection
- Agree the logistical requirements of events with the trainer / client and place orders with external suppliers and internal departments
- Support the setup and breakdown of events, ensuring venues are properly equipped and organised to meet the client requirements.
- Co-ordinate events, addressing client or guest needs or concerns promptly and professionally.
- Provide excellent customer service to course participants, event attendees, and other stakeholders.
- Record event attendance and analyse feedback from participants to identify trends and opportunities for improvement.
- Processing delegate registrations and daily bedroom check-in/ check-out greeting and welcoming clients to the University, registering them, issuing keys, and providing welcome documentation.
- Update and maintain the events calendar and booking system. Assist in the planning, coordination, and delivery of short courses and events.
- Maintain accurate delegate records, process invoices, receipting payments and tracking customer accounts. Identify and resolve discrepancies and late or missed payments.
- Prepare and distribute promotional materials, course handouts, and event information.
- Promote events through social media, prepare website updates, and arrange email campaigns.
- Identify and select online channels for the marketing and sale of events and short courses.
- Maintain and update the department’s website presence, online delegate booking portal, and social media platforms with relevant information.
- Arrange internal meetings, prepare agendas, and take minutes.
Skills and experience
Essential:
Qualifications
A good standard of education, including Maths and English. Knowledge/Skills Computer literacy with experience of using Microsoft Office suite applications.
Excellent planning, inter-personal and organisational skills.
Personal Qualities:
Exceptional time management and self-motivation attributes
A flexible and pro-active approach to work, being able to trouble shoot in both a challenging and changing environment. Excellent customer service skills with the ability to easily build rapport with stakeholders both internally and externally at all levels.
Desirable:
Previous experience of working in the service/hospitality industry would be an advantage
Experience of hotel booking software packages would be an advantage.
