Role

The Recruitment Administrator supports the delivery of high quality, customer-focused recruitment administration support services across the University’s Schools and Professional Services Directorates.

Reporting to the Recruitment Administration Team Leader, be the primary point of contact for customers on any day-to-day recruitment administration issues, providing high quality, specialist and technical advice and guidance as required in the delivery of high-quality administration services.

Duties and responsibilities

1. To provide a high quality recruitment administration service by:

• Provide effective recruitment administration to enable the efficient recruitment and selection of candidates to City St George's vacancies, including, but not limited to:

o Work with Recruitment Leads to plan recruitment campaigns and agree selection methods, advertising sources and timetables required to fill vacant positions.

o Post adverts and supporting material via relevant media channels, in line with City St George’s policies.

o Maintain appropriate recruitment records on our e-recruitment system including documentation in relation to approvals and costs.

o Work with Hiring Managers to ensure candidates are updated with progress at the appropriate point in the process. Confirm presentation / selection schedules in good time and ensure all candidates are informed.

o Administer pre-employment screenings (e.g. references, health clearance etc.) through the e-recruitment system, in line within agreed timescales.

• Timely input of new starter employee information into the relevant HR and payroll database and related payroll activities.

• Prepare and issue accurate contractual employee correspondence (including statements of particulars and contractual variations etc.) in accordance with City St George's policy, ensuring that all written documentation (i.e. email, letters, contracts etc.) are accurate and contain the correct information and the content is suitable for the recipient to receive.

• Be the first point of contact for all recruitment related queries, ensuring all queries are dealt with professionally and in a timely manner, including:

o 1st line support for the e-recruitment system

o Applicant and candidate enquiries

2. To support institutional UKVI compliance and workplace requirements are met by:

• Ensure all recruitment campaigns are administered in line with UKVI requirements such as skilled worker visa and confirming candidates right to work before employment commences.

• Ensure all statutory and workplace requirements are considered as part of the recruitment process (e.g. DBS clearance, professional qualifications and memberships/registrations)3. To support institutional Data Security requirements are met by:

• Maintain the HR filing systems (computerised and hard copy) and the HR archives, ensuring appropriate data security measures are applied at all times.

• Assist with the compilation of information arising from Freedom Of Information (FOI) and other statutory requests (e.g. locating and providing data for Subject Access Requests, Police requests, HMRC/DWP requests).

4. To contribute to collaborative working practices by:

• Work with colleagues across the directorate to ensure an excellent employee and customer experience.

• Support the HR Management Information and Systems Team with HESA data reporting exercise, through accurate data entry and through ensuring that errors are addressed promptly.

• Support Employee Relations by providing note taking duties for meeting, committees and panels (e.g., disciplinary / grievance hearings, recruitment selection panels).

• Support Reward and Recognition by providing administrative support for Job Evaluation panels (e.g. diary/room bookings, collating and issuing panel packs and providing note taking duties for panel meetings).

• Assist the HR department with ad hoc projects and general administrative support as required.

 

Skills and experience

Essential:

  • Good level of education to at least ‘A’ level (or equivalent) with examination passes demonstrating high level of literacy and numeracy.
  • Demonstrably excellent communication and interpersonal skills coupled with a highly customer-focused approach.
  • Demonstrable organisational skills with the ability to prioritise own work load and manage multiple activities over a daily, weekly and monthly cycle.
  • Demonstrable level of proficiency in the use of relevant software packages e.g., Microsoft Office. (E)Demonstrable level of attention to detail and ability to work accurately when drafting correspondence and entering data.
  • Proven ability to work independently as well as part of a team.
  • Proven ability to build constructive working relationships both internal and external.

Desirable:

  • Level 3 qualification from the Chartered Institute of Personnel and Development/Recruitment and Employment Confederation (or similar body) OR Level 3 Apprenticeship (in a relevant field) OR Equivalent workplace experience.
  • A demonstrable awareness of current UK HR issues relevant to the role and HE sector.
