Role
Our client is a fast-growing, independent financial planning and wealth management firm supporting clients across the UK, with a particular strength in complex, high-care cases (including cross-border US-UK financial planning, pensions, young professionals and life-changing lump sums). 

They are recruiting an IFA Administrator to be a key part of the advice process—keeping cases moving smoothly from onboarding and provider liaison through to valuations, illustrations, policy servicing and client communications—while maintaining excellent record-keeping and a strong focus on compliance and client outcomes.

Duties and responsibilities

As an IFA Administrator, you will work closely with the CEO and advisers to ensure smooth, efficient, and compliant administration of client portfolios. This role requires attention to detail, the ability to manage your own workload, and strong organisational skills.

Key Responsibilities:

  • Handling queries from clients, advisers and colleagues in a professional and timely manner
  • Integral part of the advice process — supporting advisers with high-quality technical and administrative work.
  • Process and submit new business in line with the workflow.
  • Processing documentation in line with agreed service standards and FCA requirements
  • Submit Letters of Authority and collate all required plan details for research and analysis.
  • Meet and greet clients, handling incoming enquiries professionally.
  • Support portfolio management, including rebalancing, buying, and selling.
  • Accurately process client withdrawals and contributions, monitoring to completion.
  • Prepare client packs for Annual Review meetings and complete follow-up work.
  • Draft basic suitability reports.
  • Conduct research for new business cases, including fund and cost analysis.

Skills and experience

  • Minimum 1 years’ experience in a similar IFA administration or wealth management role.
  • Strong communication skills with a professional and friendly approach
  • High level of attention to detail and ability to work independently.
  • Confident working knowledge Google Workspace and Gemini
  • Previous experience with any of the following is highly advantageous:
    • Good understanding of pensions, investments and protection products
    • Interactive Investors
    • AJ Bell
    • Transact
