THE ROLE
Our client DMU Examinations and Awards, Registry Services are currently recruiting a Administrative Assistant - Exams and Awards to work on a full time basis, working 37 hours per week.
The role is to offer clerical support, encompassing general tasks and duties necessary to support the planning and coordination of Graduation ceremonies, as deemed necessary by the Senior Exams and Awards Officer, Examinations and Awards, in the Directorate of Registry Services.
The Examinations and Awards team take the central lead responsibility for the for the planning, management and delivery of sector leading graduation ceremonies.
The post holder will provide an excellent standard of customer service along with accurate processing and maintenance of data. Attention to detail is an essential requirement to the success of the job.

Rate of pay: £14.91
Holiday Pay: £2.33
This role is a Office based role working the following hours:
Monday: 8.45pm - 17:00pm
Tuesday: 8.45pm - 17:15pm
Wednesday: 8.45pm - 17:15pm
Thursday: 8.45pm - 17:15pm
Friday: 8.45pm - 17:00pm
Additional hours will need to be worked during graduation ceremonies (week commencing 19 January) . Please note this role is not suitable for student applications as the role is to work with sensitive current and past student data and records.
Duties and responsibilities
To offer a proactive and reliable clerical support service to the Examinations and Awards Office in the preparation for graduation ceremonies which will encompass a range of general clerical tasks and duties.
The scope of responsibilities will encompass but is not restricted to:
- replying to inbox and phone queries regarding graduation attendance and responding in a professional, courteous and knowledgeable manner
- provide clerical support to the various functions of graduation planning and delivery
- assisting with student and to guest ticket allocation during graduation ceremonies
- The post holder is required to attend all ceremonies and assist with the student and guest registration desk, issuing of certificates and contributing to any ad hoc duties during the week of graduation undertaking other responsibilities commensurate with the post, as needed and as directed by the Senior Exams and Awards Officer the role involves processing highly sensitive student data and strict adherence to the University’s GDPR and associated data security policies and protocols will be an intrinsic responsibility of the post the post does not include line management or budgetary responsibility.
Skills and experience
- Good standard of general education to GCSE level (or equivalent) including maths and English Language to a minimum of Grade C
- Office experience in a clerical capacity in a data sensitive and customer centred environment
- Experience with Microsoft Office packages including Word, Excel, Access and Outlook
- Experience of working in a customer service environment - Desirable
- Experience of dealing with a high volume of work, including face to face enquiries with a range of stakeholders
- Experience of operating and delivering with strict deadlines
- Well organised, self-motivated and flexible team member
- Ability to work accurately, paying attention to detail
- Proactive commitment to providing professional customer service and a flexible approach to work with the ability to adapt and reprioritise duties and tasks and support colleagues when priorities change
- Will be required to adhere to University Data Protection, GDPR, Data Privacy protocols at all times
