Description
Role
This role, based 50% in the Doctoral Programmes Office and 50% in the Research Office at Warwick Business School, provides professional administrative and clerical support to customers of the office, such as academics and PGR students working with the Business School. You will take on tasks that underpin the Research Office functions, services, processes and procedures, and support the delivery of the PGR programmes in the Doctoral Programmes Office, including processing of programme applications, coordination and administration of modules and assessments, and management of data and expenses.
Duties and responsibilities
- To be a main point of contact for, and coordinate administrative arrangements for the Research Office & Doctoral Programme Office. This involves close liaison with team members, with academic faculty, other professional services and students within and outside Warwick Business School.
- To manage and coordinate the Office resource accounts, ensuring queries are dealt with in a timely manner and in line with Key Performance Indicators, using established filing systems, and directing to team members and others as appropriate.
- To support admissions for the MRes/PhD programmes by handling and processing applications.
- To support the organisation of PGR modules and coordinate the administration of assessments.
- To maintain student records and adhere to University Regulations regarding student monitoring requirements.
- To coordinate, schedule and book rooms and disseminate information for events, meetings and other activities.
- To process and monitor student expense claims and order office equipment. This includes responsibility for manging the consumable budgets and ensuring compliance with financial procedures.
- Other duties as reasonably directed by the line manager and Head of Department.
Skills and experience
- Educational attainment (pass) at A level (or equivalent, or significant relevant office experience).
- Prior experience of processing student applications is essential, with knowledge of UA Admissions preferred.
- Good interpersonal skills and the ability to communicate with a wide range of people at different levels of seniority.
- Ability to use own initiative, solve problems and work independently.
- Ability to work effectively and flexibly as a part of a team.
- Confidence and discretion when dealing with confidential matters.
- Experience of working in a busy customer facing environment.
- Competence in use of Microsoft Office software applications (including Outlook, Teams, Word, Excel).
- Strong attention to detail and the ability to work accurately to tight deadlines.
- Prior experience of using databases and information management systems.
