Description

Role

The Department of Sociology is seeking to appoint a temporary Finance Officer to provide frontline accounting and financial administrative support. The post holder will be responsible for processing all financial transactions and supporting the Departmental Administrator in preparing management information, monitoring budgets, and ensuring that departmental staff receive clear guidance on financial procedures and university financial regulations.

Duties and responsibilities

1) To raise all departmental quotations, internal orders and external purchase orders for activity.

2) Timely end-to-end processing of expense reimbursement claims from students, staff, and external visitors.

3) Processing payments to individuals using the appropriate method and carrying out self-employment and IR35 checks as required.

4) Processing and recording department funding requests from staff, students, and societies, ensuring requests are in line with the university’s Financial Regulations and seeking guidance or further approval as required.

5) Maintenance of budget spreadsheets and record keeping for departmental expenditure. 

6) Period end close activities, including the preparation of journals, manual cost allocations and accruals, preparation of management accounts for budget holders and production of monthly monitoring reports for activities.

7) Provide advice to departmental staff, with reference to internal controls and the University’s financial systems and procedures (including VAT treatment, contract administration and ensuring compliance with financial regulations).

8) Ensure that transactions relating to the Department's income and expenditure that have been posted to the University's financial system (SAP) reflect a true and fair representation of activity.

9) Management of information and records for audit purposes, in liaison with Departmental Administrator (Research, Finance & Operations).

10) Undertake ad hoc tasks commensurate with the role as directed by senior staff within the department.

Skills and experience

1) Relevant academic/ vocational/ professional qualifications and or significant experience of working in a similar environment at a similar level.

2)Previous work experience in a customer-focussed, fast paced office environment, ideally with an understanding of university administration.

3)Up to date knowledge of the university’s financial regulations and procedures, including procurement.

4)Excellent written and verbal communication skills.

5)Excellent interpersonal skills and diplomatic skills of a high order.

6)Excellent IT skills, including MS 356.

7)Experience of working with financial software packages e.g. SAP

8)Ability to prioritise workload and approach tasks in an organised and structured manner.

9)Ability to manage day-to-day workload.

10)Ability to work both as part of a team and independently.

11)Ability to build strong working relationships with colleagues across the university.

12)AAT accounting qualification would be desirable.
