Description
Role
To assist the day-to-day running of the Doctoral Training Programme, funded by the BBSRC Doctoral Landscape Award - ‘Midlands Integrative Biosciences Training Partnership’ (MIBTP) led by the University of Warwick in partnership with the universities of Birmingham, Leicester, Aston, Harper Adams, and Coventry.
Working in a team to provide high-level administrative support for all operational areas, working closely with course directors, academics and administrative colleagues to monitor and ensure delivery of an excellent student experience and to support the delivery of the DTP’s objectives.
Duties and responsibilities
Programme Administration
- To support the DTP Directors with all administrative elements of the training programme including but not limited to;
- Coordination of the taught modules, masterclasses, mini projects and annual cohort events and to ensure prompt feedback on assessments.
- Requesting Graduate Teaching Assistant adverts and contracts
- Attendance monitoring of DTP students during the training year.
- Ensuring agreements for collaborative studentships and Placements are requested.
Student Support and administration
- Monitor the MIBTP email inbox for day-to-day enquiries from students and staff ensuring that enquires are dealt with in an appropriate, timely fashion and any more complex or delicate matters are referred to Senior staff.
- To advise students on procedural matters related to the training programme, funding terms and conditions and registration status.
- Maintenance of accurate student records on various systems
Admissions
- To support the admissions cycle by collating and advertising potential PhD project opportunities
Event Co-ordination
- Post MIBTP student activity on the MIBTP website and social media
- Support arrangements for induction and other cohort activities including e.g. booking rooms, transport, refreshments and advertising events to students.
- Managing the online booking process for training events
- To service appropriate committees and meetings; including preparing agendas and taking minutes
Other
- To undertake other duties and responsibilities as required, appropriate to the grade of the post, as agreed with the Line Manager.
Skills and experience
Essential Criteria 1
Previous experience of a similar administrative role.
Essential Criteria 2
Excellent verbal and written communication skills and interpersonal skills to deal with students from all backgrounds and with staff at all levels within the University.
Essential Criteria 3
Ability to learn procedures rapidly and then apply them accurately and appropriately with strong attention to detail.
Essential Criteria 4
Ability to work collaboratively and build strong working relationships with colleagues across the University.
Essential Criteria 5
Ability to work on own initiative, managing multiple tasks and priorities with minimum supervision.
Essential Criteria 6
Excellent IT skills, including good knowledge of MS Office, web based tools and database systems
Essential Criteria 7
A willingness to work flexibly, learn new systems and undertake ongoing training.
Desirable Criteria 1
Previous experience with website editing in Sitebuilder.
Desirable Criteria 2
Previous experience with student record systems such as SITS, Tabula, and Moodle.
Location
