Description

Role

To provide administrative support to the WBS People Team.

To administer day to day processes with respect to all aspects of the employee lifecycle (including recruitment, on boarding, mid employment changes and leavers).

To provide excellent customer service to both internal and external customers.

Duties and responsibilities

  • To produce a range of letters in a timely and accurate manner
  • To work alongside the Senior HR Assistants and HR Coordinators to manage the WBS People Team inbox effectively, actioning requests or escalating if appropriate.
  • Inputting data accurately onto systems.
  • Raising AskHR tickets to the Central People Team, ensure relevant financial approval has been sought for each request.
  • To accurately maintain trackers in which the progress of all work requests is detailed ensuring that issues can easily be identified by other members of the team.
  • To be the first point of contact for providing operational support over email or face to face.
  • To advise on or escalate queries to the relevant individuals e.g. immigration, payroll, resourcing as appropriate, using knowledge and understanding of wider People Team processes.
  • To undertake all responsibilities with high levels of respect, discretion and confidentiality and within the scope of the role to ensure that university policy and procedure in relation to GDPR and Equality Legislation is adhered to.

Skills and experience

  1. Excellent oral communication skills that extend to dealing with difficult and / or sensitive personal issues
  2. Excellent customer service skills and a positive attitude towards delivering a customer focussed service
  3. Understanding of administering processes and establishing and maintaining records / databases
  4. Excellent written communication skills including drafting correspondence
  5. Excellent organisation skills, including planning and prioritising to meet deadlines
  6. Ability to work on own initiative
  7. Ability to work effectively as part of a team
  8. Ability to act with tact and discretion in a confidential environment
  9. Accuracy and attention to detail
  10. Excellent IT skills exemplified by the use of Microsoft Office, particularly Word and Excel

Location
On campus with 1 day per week working from home
