Description
Role
We are recruiting an administrative student ambassador who will represent and support the engagement and activity carried out by the GRID Business and Enterprise directorate.
Duties and responsibilities
- Operations administrative support; monitoring central email inboxes (GRID/PLANNER), dealing with simple requests (after review with ops team).
- Operations administrative support; collating important contact lists for general HWU emails, e.g. for finance and the associated business partner, IS and any helpful people within each group.
- GRID directions document; creating and maintaining a practical guide on how to find the GRID. This should include pictures of the main entrances, corridors leading to the space, and photos of key rooms. The guide will help visitors, students and staff find GRID easily and understand what spaces are available.
- Event planning support; liaising with internal and external suppliers to arrange catering, room bookings and other logistics for events.
- Events support; review and update the events MIRO board with current practices and create further event related efficiencies, e.g. events calendar.
- Event administration; producing and coordinating attendance lists and feedback forms for events. Reviewing and summarising feedback.
- Design of certificates/other documents using Canva.
- Team working; communicate effectively with fellow student ambassadors to ensure efficient working practices.
- Support the Enterprise Co-ordinator with ad-hoc tasks as required, e.g. maintenance issues, tech issues, etc.
Skills and experience
Essential skills:
- Experience of working within a similar environment as outlined above.
- Competent in the use of relevant IT packages, including Canva.
- Strong communication and interpersonal skills.
- An understanding of Heriot Watt University's schools and subject areas.
- Demonstrable professional and proactive approach.
- Demonstrable ability to work quickly, flexibly and accurately in a dynamic, changing environment.
- Experience of team working and effectiveness as a good team player with a can-do attitude.
- Willingness to learn.
Desirable but not essential:
- Competent is creative software(s) (e.g. Canva or Adobe Creative Cloud).
- Experience of using CRM system (e.g. Salesforce)
