Role

To proactively provide reception and front of house support, ensuring the highest levels of customer service. To be the initial and focal point of interface with external and internal contacts at every level, ensuring a first-class professional response to a wide range of needs to create a positive impression of WBS and its London Base (‘The Shard’), by administering and organising information exchange, and coordinating visitor hospitality.

Duties and responsibilities

Reception Support

Administer a professional and welcoming front-of-house, dealing with visitors in person ranging from executives to current and prospective students.

Maintain a high standard of appearance in keeping with a front-of-house role for a leading business school in a distinctive and cutting-edge location.

Administer all incoming enquiries to the WBS London Base received by telephone, email and other media. Decide on and send appropriate responses to general enquirers, and direct other enquiries to the appropriate staff/group in the School or University, who may be based in London or Warwick.

Record room bookings at the London Base location for teaching and non-teaching-related bookings, and advise staff on suitable accommodation for meetings and events, often high-profile in nature.

Responsible for facilitating building access for visitors and vendors in line with landlord requirements.

Provide users of The Shard with support for a range of frequently occurring issues, for example wifi login, entry and exit from the building, referring to other services etc.

Events Support

Provide support and administration of teaching and meeting rooms, including setting up tables and chairs for meetings, reconfiguring rooms as per client needs, and ensuring the cleanliness and housekeeping of designated and surrounding areas are at the highest standard.

Take a pro-active role in a wide range of problem-solving issues that may arise with an event, working independently and often under pressure.

Coordinate hospitality arrangements, taking a lead role in facilitating visitor hospitality arrangements. Responsibility for co-ordinating catering arrangements.

Under the direction of the IT/AV Services Support Consultant, provide basic support at events and teaching such as helping with speakers’ microphones and trouble-shooting basic IT problems.

Act as a health and safety contact and fire marshal for the WBS London Base premises. General Admin

Provide clerical support to members of the London Base team.

Provide ad hoc clerical support to the Programme Teams and for the students using the Shard.

Provide ad hoc clerical support to faculty teaching in The Shard.

Cover routine duties of the Building and Facilities Manager and the Front of House and Events Manager as required, e.g. reporting faults to relevant parties, checking in deliveries of equipment etc

Other projects and duties, aligned with the role, as directed by the Front of House and Events Manager.

Skills and experience

  • A good standard of general education with GCSE A-C grades (or equivalent) in Maths and English.
  • Experience of providing a high quality of customer service in a hospitality setting.
  • An understanding of the working procedures for administration of services such as post, hospitality, print services, couriers.
  • Experience of working on own initiative and team working
  • Excellent organisation skills including ability to manage multiple project simultaneously.
  • Competence with IT and use of computers.
  • Ability to prioritise and reprioritise work independently, unsupervised and under pressure while maintaining accuracy and attention to detail.
  • Highly developed customer service and interpersonal skills.
  • A proactive approach, with an ability to anticipate consequences and develop solutions to potential problems.
  • Ability to promote and enhance the reputation, professionalism and credibility of the department and the University of Warwick.
