Description

Role

To support the Group Administrator and Group Coordinator(s) in the co-ordination and application of all administrative procedures and systems required to maintain the Group Office.

To provide professional administrative services to the Head of Group and all other staff within the Group, including internal and external stakeholders of the Group and School.

We offer a hybrid working pattern, with the expectation that the postholder will be in the office for a minimum of two days during University terms.

Duties and responsibilities

Group Administration

•Provide administrative support for academic staff in the Groups.

•Arrange meetings, appointments etc for Group members and liaise with external sponsors/consultants in setting up meetings.

•Communicate professionally with internal and external stakeholders to ensure successful interaction and outcomes, acting as first point of contact for general queries for the groups.

•Support the coordination of conference arrangements for all Group members including obtaining the necessary authorisations and requesting conference registration.

Recruitment

•Support the administration of the recruitment process for academic posts.

•Support the coordination of the interview process on the day.

Financial Administration

•Support the recording and monitoring of the Group budget.

•Support Academic Group members maintaining and monitoring records of WBS Research Allowances.

•Support academic group members with expense claims and the research allowance system.

Seminar and Event Co-ordination

•Support the organisation of Group led Seminars and conferences.

•Support WBS Finance Office to monitor the event budget.

•Support the promotion of seminars through appropriate media and to liaise with the Marketing & Communications Team.

Student Support

•First point of contact for students visiting the Group Office, directing students to appropriate faculty staff for such issues as illness, personal problems, deadlines etc. (in the absence of their personal tutors).

•Maintain attendance records of doctoral students for Group events, e.g. research seminars and brown bags, and share with the Course Director and Doctoral Programme Office flagging any concerns.

Skills and experience

  • Minimum Grade C pass at GCSE (or equivalent) in English Language and Mathematics
  • Competent user of Microsoft Office Suite to intermediate level (RSA/OCR II (or equivalent) including Word, Excel, PowerPoint
  • Relevant general office administration experience
  • Competence in use of Microsoft Office software applications (including word-processing, spreadsheets, presentations and email) – to an intermediate level
  • Knowledge of Site Builder or ability to develop and maintain a web page
  • Excellent communication, organisational and time management skills
  • Ability to use own initiative, solve problems and work with minimum supervision
  • Confidence and discretion when dealing with confidential matters
  • Ability to act decisively with tact and diplomacy
  • Ability to relate well to both students and staff
  • Ability to develop rapport with all levels of internal and external customers
