Role
Unitemps, Harper Adams University provides permanent and temporary staffing recruitment solutions to campus departments and commercial clients throughout the UK. The primary responsibility of this role is to provide administrative support to the Harper Adams University Unitemps office. Reporting to the Branch Manager, you will provide administrative support within the office, assisting both the Branch Manager and Recruitment Consultants with a variety of tasks. 

 
This role is key in supporting the employability of students, graduates, and local jobseekers by ensuring efficient and compliant recruitment processes. As a customer service-focused Administrator, you will be responsible for supporting the candidate and client administration involved in the end-to-end recruitment cycle. This includes ensuring compliance with relevant legislation during the onboarding process, such as Right to Work checks and adherence to the Agency Workers Regulations. 
 
This is a full 360-degree recruitment support role, requiring effective engagement with both clients and candidates at all levels. You will often be the first point of contact whether by phone, email, or in-person for those interacting with the Unitemps office. In addition, you will provide administrative support across a range of business development and marketing activities aimed at expanding Unitemps operations at Harper Adams

Duties and responsibilities
Customer Service

• Greet visitors who arrive at the Unitemps office in a friendly and professional manner. These could be candidates, clients or members of the University. Develop and foster strong, long-term relationships with clients, serve as the main account manager for a portfolio of clients, lead contract and price negotiations, understand client hiring requirements, business culture and objectives to deliver recruitment solutions. 
• Triage the most common questions and queries in person, by phone or email. Queries include payroll, tax, holiday pay, directions and the status of job applications. Sign-post more complex queries to subject matter specialists or senior branch colleagues. Track resolution progress and ensure queries are followed up and closed in a timely manner. 
• Registering new candidates for work, conducting all relevant right to work ID and VISA checks, ensuring the accurate completion of all right to work and payroll information. Undertake regular visits to key Harper Adams University Department contacts within your own portfolio, to ensure continuity of relationships and maximise the chance to work across all departments within the University, as well as a high standard of customer service.
 
Candidate and Branch Administration 
• Allocate candidates to bookings, ensuring all correspondence is communicated to candidates and clients regarding job vacancies, progress ID, Right to Work, Visa and references ensuring candidate files are complete prior to candidates commencing work. 
• Support the recruit consultants around data input of candidates and clients into the Unitemps database. Ensure job adverts on the website are all in date, clear of errors and meet client requirements. 
• Process candidate change documentation such as address, bank account and personal information, ensuring any accompanying verification ID, Visa and Bank information are also captured. 
• Support weekly timesheet collection and submission processes, use email and social media channels to progress the timely submission of candidate timesheets and client authorisations. 
• Action period timesheet exports for review and approval by the Branch Manager. Work with the central Payroll Teams to ensure weekly timesheet exports are processed to payroll deadlines. 
 
Compliance and Governance
• Ensure all candidate administrative duties remain compliant with relevant employment legislation, including the Agency Workers Regulations (AWR), Employment Agencies Act, and Conduct Regulations. 
• Administer accurate and up-to-date RTW documentation for workers in line with Home Office guidelines, including regular audits and re-checks for time-limited permissions. 
• Administer and ensure temporary and contract workers are provided with the appropriate Key Information Documents (KIDs), Assignment Details, and that onboarding documentation is completed correctly and stored securely. As directed by the Branch Manager work closely with the Central Human Resources Teams and/or Unitemps compliance teams to resolve any nonconformances in a timely and efficient manner. 

Skills and experience
Previous administrative experience. Ideally but not essentially gained within a business-to-business sales environment, recruitment agency or HE institution. Ability to travel within the UK

 
Well-developed verbal and written communication skills Strong interpersonal skills with the ability to deal effectively at all levels, up to and including Senior Managers. High level of computer literacy. Knowledge of Windows and Microsoft applications is essential. Ability to work on own initiative to prioritise workload, meet tight deadlines and juggle multiple tasks effectively. The role will involve a high level of independent decision-making
