Description
Role
To provide comprehensive administrative support to the STEM Connect Programme Team, in the Faculty of Science, Engineering and Medicine.
You should have excellent written and verbal communication skills, as regular liaison with internal and external stakeholders will be necessary. You should have administrative experience and be able to work accurately and prioritise well to manage a busy and varied workload.
This role presents an opportunity to be part of team tasked with delivering a major strategic priority for the University, working with a wide range of stakeholders in an inclusive, supportive and busy environment.
Duties and responsibilities
Manage the general administration for the STEM Connect programme team, including:
- Flexible administrative support for Programme team across the full range of their activities, including:
- Organising high level and complex meetings and workshops.
- Oversight and proactive management of shared email inbox, ensuring relevant emails are flagged or responded to appropriately in a timely fashion.
- Support for governance meetings and engagement, including note taking and management of actions.
- Support on communications and engagement activities.
- Executive support for the Academic Director, including proactive diary management, dealing with correspondence in a timely and appropriate fashion, arranging events, transport and accommodation requirements.
- Preparation of presentations and collation of information.
- General administrative support including setting up and maintaining project files, contact details and mailing lists, HR and Finance processes; and oversight of the programme team office on campus.
- Any other additional administrative duties associated with working in a busy programme environment, appropriate to the grade.
Skills and experience
- Experience in a secretarial/administrative/diary management role within a large organisation or institution.
- Excellent organisational skills, with the ability to prioritise, work to tight deadlines, multitask and stay calm under pressure.
- Ability to work on own initiative and be self-motivated, adapting positively to changing circumstances and able to cope with a fast-paced complex programme with competing demands.
- Excellent interpersonal skills, including the ability to build relationships with senior colleagues and academic departments in a sensitive, professional manner.
- Excellent verbal and written communication skills, with a high-level commitment to accuracy and attention to detail.
- A strong level of IT skills particularly Excel, Word, Powerpoint, and Outlook.
Location
Combination of on campus [expected minimum three days per week] and working from home, in accordance with the flexible needs of the programme.
