Role
Duties and responsibilities
- Execute/deliver the events programme, partner events programmes and training, including all administration management from conception, through booking and payment monitoring, event management to finance reports and reconciliation.
- Coordinating suppliers, handling client queries, and troubleshooting on the day of the event to ensure that all runs smoothly.
- Post event evaluation including data entry and analysis.
- Research and develop new ideas for events and designed to deliver information networking and business development opportunities to members and other businesses.
- Support the use of technology in events both physical and virtual.
- Maintain high standards of customer service and represent the organisation professionally at all times.
- Host events and meetings including virtual events where required and be informed point of contact for event enquiries, resolving as many queries as possible at first point of contract.
- Obtain and evaluate feedback on activities to inform future delivery and ensure evens meet members’ specific requirements and monitor the impact of the activities undertaken and report as required.
- Manage income and expenditure of events and training and comply with any funding guidelines as required.
- Support events, training and projects using and updating information on CRM systems.
- Manage booking payment system for training, events and room hire and produce invoice/credits and purchase orders where required.
- Gather images and stories to help support the marketing team with event attendance and promoted campaigns.
- Liaising with speakers and contacts for events including council and board members of the Chamber.
- Manage set up and pack down of events including moving event furniture and preparing refreshments.
- Support on the management and booking of internal/external room hire including set up and pack down.
- Flexible and willing to support other departments, including providing reception cover when needed.
- Carry out any other duties as requested by senior management and support other departments where required.
- Participate in internal/external meetings and training as required.
Skills and experience
- Previous experience is desirable but not essential – we’re looking for a self-starter who is confident, proactive and willing to learn.
- Confident communicator with excellent interpersonal skills.
- Organised and able to manage multiple projects and deadlines simultaneously.
- Comfortable working both independently and as part of a team.
- UK Driving Licence with own vehicle.
- Able to work flexibly including occasional evenings.
