THE ROLE

The Information Governance Officer is a member of the Information Governance Team in Corporate Services.  They will work with managers and colleagues within GAL and across the University to ensure that the University is compliant with its obligations under the Data Protection Act 2018, the Freedom of Information Act 2000, the Environmental Information Regulations 2005, the UK General Data Protection Regulation and other applicable legislation and best practice.

Assisting the Information Governance Manager in monitoring of information governance risks and incidents

The role will start as soon as possible until the current end date of 01/04/2026.You will work 37 hours per week - part time above 20 hours per week can be considered. This is a hybrid role, with 2 days working on campus required.

Duties and responsibilities

  1. To work with and advise senior management and decision makers across the University to ensure the University complies with its obligations under the Freedom of Information Act, Data Protection Act, Environmental Information Regulations and UK General Data Protection Regulation including responding to Freedom of Information, Subject Access and similar requests, and including logging and providing guidance on Data Protection Impact Assessments.
  2. To advise on the development and implementation of the university’s arrangements for compliance with UK GDPR, including development of good and best practice to ensure efficiency in compliance. This will involve assisting with the implementation and continuous improvement of policy, training and awareness, technology, processes and reporting to meet the requirements of the UK General Data Protection Regulation (UK GDPR).
  3. Assist the Information Governance Manager in Investigating breaches of the above Acts and the production of reports to the Information Governance and Cyber Security Committee. As part of the investigation the report will highlight the impact of the breach and recommendations on mitigating actions, lessons learned and whether the breach requires to be communicated to the Information Commissioner’s Office.
  4. To assist in the development and implementation of plans to meet strategic targets across the full range subject matter expertise, including the development and review of relevant university-wide policies, standards, governance processes and performance measures to ensure optimal efficiency, effectiveness and value of records both electronic and paper. Ensure that these are aligned to the corporate governance framework, meet legislative requirements and best practice standards.
  5. To maintain up to date expertise through research, training and continuous development in order to undertake the role of subject matter expert in relation to:
  1. Information Governance
  2. Records Management
  3. Requests for information against the statutory access regimes
  • Help build staff and student awareness through information, advice and training of the importance of effective IT security, records management and information governance for risk management, business advantage and personal data security.
  • Identify and manage health and safety risks according to the University’s policies and procedures.

Skills and experience

  • Educated to degree level or equivalent qualification or equivalent experience
  • Experience in information Governance and related legal requirements around data protection and/or freedom of information or similar topics
  • Experience of implementing policy, strategy and audit to meet internal requirements
  • Experience in providing professional advice to senior managers in a complex organisation of significant size
  • Knowledge of Information Governance legal requirements including:

    Data Protection Act /UK General Data Protection Regulation, and/or the Freedom of Information Act
  • High level of personal integrity with the ability to handle confidential and otherwise sensitive matters professionally and with the appropriate level of judgement and maturity
  • Excellent written, presentation and verbal communication skills, including the ability to:

    a)      communicate with technical and non-technical audiences at all levels, both internal and external stakeholders

    Provide a high quality of customer service to all stakeholders, both internal and external.
  • Demonstrable ability to develop and comply with policy, standards, and processes within the area of responsibility, and work effectively with minimal supervision.
  • An ability to work cooperatively within a small team to achieve common goals and deliverables.
  • Strong analytical and problem-solving skills with the ability apply flexible and innovative approaches to problem resolution.
