Role
The role currently resides under the Programme Administration Team for the College of Business, and manages our front desk on a daily basis, performing a variety of administrative and clerical tasks, to contribute to the Programme Admin Team providing data process and general administrative duties, as well as customer service experience; handling, triaging and signposting enquiries from student (main student desk) as well as multiple stakeholders; requiring a good understanding and knowledge of the schools offer, programme administration and day to day activities.

 
We are proposing a fixed term contract with a total of 211 hrs for a 12 week pilot, this is made up of:
W/C 29th September– 17th Oct 10-3pm (20 per week, 60hrs total)
W/C 20th October Mon – Thur 12:00-1:00pm Friday 12:00-5pm (9 hrs per week, 81hrs total)
Additional 10 days Annual Leave cover ad hoc as required (70hrs)
This working pattern will cover the lunch break and AL of the existing Reception Admin Assistant.

Duties and responsibilities
Front of House /Reception: 

  • Welcome visitors/enquirers to the College and provide information in accordance with relevant regulations/signpost and announcing accordingly. 
  • Have a good understanding of programme administration in order to assistant student queries, triage and signpost accordingly. 
  • Ensure reception area is tidy and presentable  
  • To work collaboratively across the College to support delivery of cross functional objectives. 
  • Update calendars and schedule meetings, ensuring activities and events across the campus are captured and kept up to date. 
  • Maintain security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Assist with room bookings and SALTO access 
  • Assist with health and safety matters including fire safety procedures
  • Provide support for events and activities across the College. 
General Duties: 
  • Work on a broad range of routine activities with clear and simple procedures whilst under regular supervision. 
  • Offering assistance in the preparation of documents and data processing.
  • Answering and processing phone calls and other correspondence  
  • Planning of own work for the day or days ahead within clear procedures.
  • Work to pre-determined deadlines and standards within established processes.
  • Order stationery and other goods. 
  • Oversee printing facilities. 
  • Report maintenance issues to Estates
  • Ensure compliance with regulations, including Health and Safety

Skills and experience

  • An understanding of the importance of meeting customer needs and executes all administrative tasks to the highest quality standards
  • Excellent customer service skills
  • Excellent IT skills including Microsoft Office  
  • Multitasking, organisational and time management skills with the ability to prioritise tasks
  • Ability to be resourceful and proactive when issues arise
  • Excellent accuracy and attention to detail 
  • Good communication skills, with the ability to give and receive information effectively using a variety of methods and to communicate with a wide range of university staff, students and agents 
  • Ability both to work as a member of a team and also to demonstrate independent working and Initiative
  • A willingness to be flexible towards duties and adaptable to change
