Role
Supporting the Senior Accommodation Officer, the Accommodation Assistant will provide a key point of support for students living on and off-campus to support the development of positive and thriving community living experience for students. The Accommodation Assistant also provides advice and guidance relating to accommodation and residential support whilst also delivering administrative support to enable the efficient functioning of the Residential Services function.
Duties and responsibilities
• To provide support and advice to students, staff and third party stakeholders, including landlords, in relation to the accommodation services offered at the University of Northampton.
• To ensure efficient operation of the administrative and operational processes within Residential Services, liaising with other teams, particularly, Facilities Services, International Student Support, Admissions and the Finance Office as required.
• Support and undertake marketing, application and allocation processes for university accommodation for all intakes throughout the year.
• Support and undertake room transfers, withdrawals, end of contract processes, including but not limited to, collection of room keys, completion of correction forms and room inspections.
• Provide advice and support to students wishing to move into private sector accommodation whilst also supporting administration of Student Pad and landlord access to this system.
• Undertake general day to day administration activities, including inputting of data and use of the accommodation software, Room Service, and liaison with several internal departments such as Facilities Services, ASSIST, Financial Guidance and the Student Help Desk.
• Liaise with Student Conduct & Complaints Officers, as necessary, in the resolution of on and off-campus disputes, conduct and complaints relating to contractual breaches of accommodation terms and conditions.
• To provide information, advice and guidance to students, in person, over the phone and by email/social media.
• Support accommodation tours and work closely with Marketing to ensure University owned accommodation is promoted effectively and the advice given is accurate.
• Support the development, maintenance and dissemination of current promotional resources and Web pages.
• Support in the delivery of our student accommodation insights survey, collecting and analysing the results once completed.
• Referring students when necessary to internal and external sources of help and support.
• Participation in team meetings and other Sectional/Departmental meetings as appropriate.
• Participation in staff-development and training, as required in order to develop knowledge expertise and skills.
Skills and experience
5 GCSEs grade C or above, must include Maths and English
Excellent written and verbal communication skills
Ability to show sensitivity to the communication needs of the client and the situation e.g. language; emotive circumstances, complex situations.
Ability to respond and resolve enquiries and problems, judging when to refer complex queries or involve others to provide an effective service.
Have the ability to work within established policies and procedures and conform to appropriate quality standards.
Manage own personal day to day workload in keeping with service demands, within agreed timescales and as directed by the line manager
Ability to work independently and pro-actively
Excellent numeracy and literacy skills
Good working knowledge of Excel spreadsheets and Word documents
Experience of delivering excellent customer service
Excellent attention to detail
