Role objective: To assist in the research, design, development and implementation of a user-friendly, centralised spreadsheet-based system, for effectively tracking and managing all research projects. This project aims to enhance visibility, improve collaboration, and streamline access to critical project information and associated resources within our research team.
Duties and responsibilities
- Project Identification: Learning to categorise and input unique project names/IDs.
- Team Involvement: Understanding how to record project leads and team members.
- Project Status Tracking: Assisting with the implementation of standardised status indicators (e.gs Planning, In Progress, Review, Completed, On Hold).
- Key Dates: Helping to input and track start and estimated/actual completion dates.
- Resource Organisation: Supporting the organisation of relevant links (e.g. shared drive folders, online documents, external resources) and document references.
- Basic Reporting: Contributing to the ability to filter and sort project data (with the possible scope of developing reports to summarise projects)
Responsibilities:
The intern will work under supervision and be responsible for supporting the development and implementation of the project management system. Key responsibilities include:
- Assisting in gathering requirements from team members and contributing to the system’s design
- Developing and testing components of the Excel-based system under guidance.
- Inputting and organising project data, ensuring accuracy and consistency.
- Contributing to the creation of user documentation for the system.
- Providing basic support to team members on system usage.
Skills and experience
Skills & Experience
- Familiarity with Microsoft Excel: Basic to intermediate knowledge of Excel functionalities (e.g. basic formulas, formatting, sorting, filtering).
- Strong Organisational Skills: Demonstrated ability to organise information and maintain attention to detail.
- Analytical Thinking: Aptitude for understanding data and how it can be structured.
- Communication Skills: Good verbal and written communication (especially, with the remote working environment), with a willingness to ask questions and learn.
- Proactive Learner: Eagerness to learn new software skills and project management concepts.
