Role

To assist with the coordination of the admissions process for the ‘Midlands Integrative Biosciences Training Partnership’ (MIBTP) led by the University of Warwick in partnership with the universities of Birmingham, Leicester, Aston, Harper Adams and Coventry. 

This is a temporary assignment until 17/10/25.

Duties and responsibilities

To be responsible for administrative elements of the training programme PhD project web upload process, including but not limited to:

Collating project proposal form responses and inputting details into an Excel database

  • Using SiteBuilder, the university’s web publishing tool, to create and maintain supervisor profile webpages on the MIBTP website (relevant training in SiteBuilder will be provided)
  • Maintaining and updating the Excel directory of MIBTP supervisors
  • Updating project details on the relevant areas of the MIBTP website
  • Emailing project supervisors at various stages to update them on the status of their project proposal
  • Liaising with the administrative staff at MIBTP partner universities to monitor the project approval process, and updating this information in the project database

To assist with the external advertisement of MIBTP PhD projects:

  • Liaising with MIBTP’s external advertising partner AdGen to provide them with relevant project information as required
  • Emailing project supervisors to share the links to their project page on Find A PhD

To provide support to applicants to the MIBTP programme:

  • Providing exceptional customer service for applicant enquiries, ensuring that applicants are provided with information in an appropriate, timely fashion
  • To assess and direct applicants to the appropriate resources on the MIBTP website

To carry out any other administrative duties as may be required.

 

Skills and experience

  • Experience of working in a busy administrative environment
  • Excellent oral and written communication skills
  • Understanding of administration processes and maintaining records/databases
  • Experience in using Microsoft Excel and Outlook and an ability to learn how to use new software quickly
  • Strong interpersonal skills, including the ability to deal with students in a sensitive, professional manner
  • The ability to use initiative and to work quickly and accurately to tight deadlines
  • Very high attention to detail

Location
Hybrid – 1 or 2 days in-office per week
