Description
Role
To provide support in the organising and providing high quality administrative support for the management, administration, and delivery of the School of Engineering Degree Apprenticeship Programmes.
Duties and responsibilities
- Share in the planning, implementation, and evaluation of the annual cycle for the DA programmes in the School of Engineering, working in collaboration with the Administrative Officer (DA), Directors of Studies, and other senior colleagues. The typical range of duties, timetabling lectures and seminars, seminar group allocation, room allocation and bookings, marks management, dealing with recruitment queries from applicants and employers.
- Support the development of DA programmes and associated activities by supporting relevant departmental committees and groups (i.e. manage meeting arrangements, minute taking, event coordination).
- Contribute to the development of systems, policies, and procedures for academic administration, particularly in relation to the DA programmes and students.
- Plan and oversee the cycle of DA examination administration.
- Share in overseeing the planning and coordination of DA progression, ensuring that documentation is collated and submitted on time, that student records are kept up to date, following up on outcomes and liaising with students, Internal and External Examiners, and the Examinations Office.
- Work with the Student Staff Liaison Committees (SSLCs) to help build a sense of community, respond to feedback, and ensure that students feel actively involved in the School of Engineering and wider University.
- Undertake any other duties in support of the wider student support teams (DA, UG, PGT) or the Senior Management Team in the School of Engineering, this includes supporting the School at open and offer holder days.
Skills and experience
Essential•
- Educated to A level standard or equivalent. NVQ level 3 administration and/or significant experience of working in a similar environment at a similar level.
- Experience of working in an administrative role in a busy work environment.
- Experience of working in an academic environment.
- Experience of working and communicating positively and professionally with senior members of staff.
- Experience of working with data, including producing, analysing and interpreting data and presenting data in an appropriate format.
- Excellent IT skills, including an up-to-date and comprehensive knowledge of Microsoft Office, and the willingness and ability to learn new IT platforms and skills.
- Excellent administrative and organisational skills with the ability to manage multiple tasks, prioritise and deliver to tight deadlines.
- Experience of organising events and / or large scale meetings.
- Excellent verbal and written communication skills, with strong interpersonal skills and the ability to build rapport and develop effective and positive working relationships with staff and students.
- Ability to deal confidentially with sensitive issues and to be patient, welcoming and friendly.
- Ability to work independently and as part of a team with evidence of having contributed positively to team culture and working environment.
- Flexibility and personal resilience, with an ability to manage change well and a proactive approach to work.
- Excellent attention to detail and proven problem-solving capability with evidence of continuous improvement / review of systems and working practices to ensure efficiency.
- Ability to work professionally, proactively and collaboratively with all colleagues and stakeholders
- Ability to take the initiative in advising and guiding colleagues in the administration that is required in order to progress an agenda.
- An understanding of customer service principles and a strong track record of delivering excellent customer service.
- Experience of using student record platforms.
- Willing to work some evenings and weekends to support School and University events.

Desirable
- Degree or equivalent experience.
- Experience of university administration particularly with regards to examinations and timetabling.
- Experience of working in an area that is highly regulated with demonstrable ability to learn, understand and communicate those regulations and ensure they are adhered to.
- Experience of creating, maintaining and executing communication plans using various mediums (i.e. Email, Handbook, Moodle, Newsletter).
Location
On campus for the majority of time to reflect the nature of the role. A small amount of WFH may be possible subject to operational and business requirements.
