Role
With a rich history spanning over 125 years, City St George’s Students’ Union is the primary organisation representing every City St George’s student. That makes the Union the representative body for over 20,000 members. With five Full-Time Student Officers, a team of permanent staff and the involvement of student volunteers, the Union is at the heart of activity on campus tasked with improving and delivering the best Student Experience.
Duties and responsibilities
- To work on the Students’ Union Welcome Desk
- To open and close the Welcome Desk daily.
- To serve students, staff, and visitors by greeting and directing them appropriately.
- Take payments for merchandise, event tickets and society memberships.
- To answer, screen and forward all incoming phone calls and emails via FreshDesk
- To inform students by answering or referring inquiries
- To notify staff of student / visitor arrival
- Keep a safe, presentable, and clean Welcome Desk area, with all necessary stationery and materials (eg. pens, flyers, forms).
- Receive, sort, and distribute daily mail and deliveries for the staff team.
- To provide excellent customer service in person, on the phone and via email.
- To support the delivery of the Northampton Square retail offer
- To assist the relevant staff in the delivery of the retail offer.
- To support the daily operations relating to the retail offer, including the shop displays, selling of items, packaging and postage of online orders, the coordination of click and collect items and other relevant tasks
- To ensure the stock room is tidy and health and safety compliant
- To ensure all stock is correctly unpacked when delivered and entered onto the relevant system.
- To support the Communities Team and wider Union with administrative tasks.
- To answer questions through the SU Communities inbox
- To respond to questions from student leaders and support the delivery
- To support student groups with setting up events including booking equipment, setting up spaces and answering queries
- Support with the establishment of new Student Groups, working on the admin and collating information to upload onto our website
- Assist with wider Union projects, including but not limited to: Elections, Awards, Society Committee Elections, Welcome, EDI calendar.
- Perform other clerical duties such as filing, photocopying, and printing.
- Represent and be an ambassador for the Union
- To adhere to all relevant Union policy, procedures, and governing documents at all times
- To actively demonstrate commitment to equality, diversity, and inclusion.
- To undertake appropriate training and development as required for the role.
- To assist in key Union activity and events throughout the year, including but not limited to Welcome, Elections, and the Micro-Placement Programme
- To undertake any other duties appropriate to the role, role grade and organisation, within their competence as required by management.
- To treat any personal, private, or sensitive information about an individual or organisations and/or clients or staff confidentially in line with GDPR compliance
- To provide administrative support as required
- To wear a Union uniform when working on the Welcome Desk or delivering student facing activities.
Skills and experience
- An excellent knowledge of customer service and administration.
- Basic understanding of students’ unions and / or universities.
- Experience in a customer-facing role.
- Relevant experience providing effective administrative support
- Excellent customer services skills in-person, via email and over the phone.
- Ability to prioritise own workload.
- Excellent organisational skills.
- Able to demonstrate commitment to a high standard of customer service, in-person, via email and over the phone
- Able to demonstrate a strong commitment to equity, diversity and inclusion and sustainability
- Basic IT, numeracy, and literacy skills – proficient in using Office 365.
