Description
Role
The Change Administrator will be based in the Change Support Unit (CSU), a central resource supporting the delivery of change initiatives across City St George’s, University of London. The CSU operates across the Clerkenwell, Moorgate, and Tooting campuses, and plays a key role in enhancing the student and staff experience through effective change delivery.
Duties and responsibilities
The CSU supports:
• Project and change management
• Process improvement
• Business process analysis
• Strategic organisational change and design
• Consultancy, training, coaching, and capability development
The role holder will work closely with the team to provide support across a range of activities, including diary and event management, communicating with project stakeholders, and managing and coordinating the administrative aspects of the CSU.
This is a new post and as such the workload and duties will be varied. Therefore, the role holder should have an interest in supporting change activities with a flexible and positive attitude.
Key responsibilities
Planning and organising:
• Act as secretary for nominated meetings, including drafting agendas, preparing and distributing papers, and recording minutes for approval
• Monitor and report on actions, ensuring that actions are undertaken and following up with key stakeholders where required
• Support the management and maintenance of project plans and communications
• Maintain and coordinate diaries
• Arrange meetings, including room bookings
• Support the management and coordination of training days, general events, and social functions
Interpersonal skills (including communicating and influencing):
• Draft and distribute announcements and correspondence where required
• Provide the first point of contact for staff and act as a “way finder” for questions and queries
• Being Student/Customer focused
• Positively engage with stakeholders and tailor communications to help stakeholders fully engage with the department
Skills and experience
• Excellent organisational and time management skills, with the ability to manage and prioritise a complex and varied workload to meet deadlines
• A high level of accuracy and meticulous attention to detail
• Intermediate to advanced level proficiency with Microsoft 365 applications (e.g. Word, Excel, MS Teams and Sharepoint)
• A high level of interpersonal communication skills, both written and spoken, using a customer-centred approach
• Experience of successful stakeholder communication and engagement
• The ability to work effectively under own direction as well as part of a team
• Ability to work with all levels of the organisation for sensitive and confidential issues, exercising tact, diplomacy, and integrity at all times
