Room Monitor Supervisor Job Description – 2024-2025
Please note that these roles are open ONLY to UCL students, including PhD students.
Approximately 25 room monitor supervisors are recruited to oversee the effective daily checking of teaching spaces by around 120 room monitors every weekday between 08:00 and 09:00. Supervisors are allocated a Zone and are responsible for five or six room monitors. Training will be provided. The service runs for Terms 1 and 2 with a reduced service during Term 3. Supervisors will have worked as room monitors for at least one year to qualify for the role. You will be familiar with the IT and AV checks as well as room and facility checks. If you are unsure of what is required, please refer to the room monitor job description above. One supervisor will be appointed to Bidborough House to supervise room monitors who check meeting rooms and for which the RCMS App is not used.
Duties and responsibilities
The primary objectives of supervisors are:
Assist room monitors with fixing any simple faults and escalating ongoing issues to Tech Ops for IT and AV and Estates Helpdesk for room and facilities. This is done using the RCMS App. Reports are sent automatically to the relevant helpdesk.
Supervisors are required to check that room monitors are clear that reporting of faults using the RCMS App is done during the time that room monitors are in the room. At time of checking and reporting on the Room Monitor Management System, the latitude and longitude location of the room will automatically be included in the report as part of monitoring performance. Reporting faults outside of the normal working hours of 08:00 – 09:00 will be invalid. The supervisor responsible for room monitors in Bidborough House will not use the RCMS App and instead will be required to submit weekly hours worked each week to room monitor admin.
Additionally, supervisors must meet with each room monitor, face to face, at least once a week to provide an opportunity for general enquiries.
If a room monitor is unable to work, supervisors will receive an automatically generated message from the room monitor stating the reason for absence. In the event a room monitor is away for two days or more, supervisors are expected to check the relevant rooms and report on findings using the RCMS App. This does not apply to Bidborough House where room monitors must contact their supervisor direct.
Throughout the year there are likely to be several replacement room monitors within a zone that did not receive training at the start of the year. Room monitors may not wish to continue with the checks, or in some cases we may change room monitors based on performance. Where a room monitor is replaced within a zone, we will ask the supervisor to provide some training to allow them to start their checks. Supervisors should arrange to meet them in a room on their route. Supervisors should then provide a demonstration of how to complete the checks, as well as an overview of the responsibilities of the role.
An hourly pay rate of £16.76 plus holiday pay is paid for supervisors and training time will also be paid. All supervisors are required to register with Unitemps, the onsite temp agency. Contracts of employment will be with Unitemps to whom weekly timesheets are submitted. Payments are made at the end of each month. It is important to note registration with Unitemps including proof of Right to Work must completed prior to commencement of the role.
Roles are allocated on a first-come, first-served basis and no interviews are conducted. If you are interested in working as a supervisor, please click on and complete the Sign-up Form located under Student Applications on this site.
