Room Monitor Job Description – 2024-2025
Please note that these roles are open ONLY to UCL students, including PhD students.
The student room monitors are a team of approximately 120 students who check nominated centrally bookable teaching spaces every morning during teaching terms in Terms 1 and 2, Reading Weeks attendance is optional. In addition, 25 room monitor supervisors are recruited to oversee room monitors and to meet with room monitors in person at least once a week. Supervisors will have worked as room monitors for at least one year to qualify for the role. Whilst most roles are for teaching spaces, we do have four room monitor roles plus one supervisor working in Bidborough House checking meeting rooms and and agile spaces.
The primary objectives of room monitors are to identify faults with:
IT and AV equipment in those spaces, fixing any simple faults (e.g. putting a microphone back on charge or replacing batteries) themselves or reporting any other faults for the relevant AV technical.
Room and facilities, fixing any simple faults where possible (e.g. a blocked fire exit) or taking pictures of and reporting other faults to the Estates Helpdesk via a Room Checker Management System (online questionnaire).
A reduced service is usually run for Term 3. Room monitors and supervisors will be contacted in the latter half of Term 2 if they are required to work during Term 3.
Students are recruited to complete the checks largely because they have a knowledge of the UCL campus and the working hours (08:00 – 09:00 during term time) tend to fit their schedules. The working hours must be between 08:00 – 09:00 and there is no flexibility with this as core teaching begins at 09:00. All reporting of checks must be submitted in the rooms at the time of checks.
Duties and responsibilities
The role of the Room Monitors is to support existing Client Platform Service Officers in ensuring that UCL’s teaching and learning spaces are working correctly and are ready for use.
Room monitors will initially be provided with full training and for each room will follow a script to ensure each item of audio-visual and IT equipment (e.g. PC, projector, visualiser, laptop point, microphone) is tested and that damage or issues with the room facilities are reported. They will be given instructions to fix simple faults (e.g. replacing discharged batteries or broken cables themselves) and complete a questionnaire to record all items on a Room Monitor Management System via a mobile or tablet device, which will automatically trigger a report to the relevant helpdesk or team. At time of checking and reporting on the Room Monitor Management System, the latitude and longitude location of the room will automatically be included in the report as part of monitoring performance. Room monitors and the supervisor for Bidborough House will not use the Room Monitor Management System and separate training will be provided for these roles. Room monitors and the supervisor at UCL East checking Marshgate and Pool Street buildings, will only check IT and AV equipment as room facilities are checked and maintained by the onsite facility management company. As such, the room monitors, and supervisor will not use the Room Monitor Management System but a different system MyService for which training will be provided.
Room monitors will be allocated a set of rooms on campus to check, with all spaces being checked daily. Some flexibility on location is required, to allow room monitors to cover for others holiday or sickness periods. The role holder would in all cases be working under supervision of a room monitor supervisor and general queries can be discussed with the supervisor.
From time-to-time opportunities to work additional hours on similar tasks, such as assisting with installation of new computers, taking audits of equipment or re-setting furniture in rooms, might become available. Such work would be offered on an individual basis.
