About the role:

We are seeking a talented and enthusiastic Receptionist to cover a number of dates. As our Receptionist, you will play a pivotal role in creating a professional and welcoming environment at our state-of-the-art facilities.

This is an exciting opportunity to support the operations of an innovative community of 40 businesses and organizations. You will be the first point of contact for visitors, fielding inquiries with tact and care. Your excellent communication skills will shine as you route calls, emails, and requests to the right people and places.

As our Receptionist, you will have your finger on the pulse of our busy community. Your organizational skills and friendly demeanour will help create a positive experience for tenants and guests. Duties and responsibilities

  • To provide a professional and efficient frontline Reception service at the UNIP buildings, to be the first and main point of contact to visitors and to deal with visitor enquiries in person, by telephone, e-mail and in writing and to disseminate relevant information accordingly.
  • Administration of locally controlled systems/procedures including keeping a record of visitors to the building, allocation/ collection of visitor badges, room bookings, deliveries and copying facilities. To establish and initiate the development of procedures where non-existent to support the operation and effective running of UNIP. Liaising with Administrative and Support Units within the University as and when necessary.
  • Managing and dealing with non-routine problems and issues. Taking appropriate action to resolve, log and refer to the relevant Line Manager where appropriate.
  • Any other duties appropriate to the role and level.

Skills and experience

Essential

  • Good standard of education including five GCSEs or equivalent, plus previous work experience
  • Significant previous work experience in a similar role
  • Strong communication and interpersonal skills
  • Ability to work well independently and as part of a team
  • Organizational and time management skills
  • Proficiency with Microsoft Office and email
  • Customer service experience
  • Experience with office administration and procedures
  • Experience with phone systems, call handling, and an excellent phone manner

Desirable

  • Relevant training / qualifications in administration, hospitality, or other service sectors
  • Knowledge of event planning and coordination
  • Familiarity with building operations and facilities
  • Previous reception experience
  • Experience with booking systems and visitor management 
  • Experience handling sensitive information
