Role

Student helpers for the most important yearly Conference in European Studies (Law, Politics, International Relations, etc.). It is organised by LJMU and UACES. It will take place on 1 to 3 September 2025 included. Around 300 to 350 fee-paying attendees are expected in person. 

About the UACES 55th Annual Conference 2025From 31 August to 3 September 2025, leading scholars, researchers and practitioners will gather at Liverpool John Moores University to exchange ideas, insights, and discuss innovative research in the field of European Studies. This year’s conference will engage with a broad range of themes that reflect Europe’s resilience and transformation in a rapidly changing world. The agenda will address critical issues including integration, governance, social equity, and sustainability, offering fresh perspectives on the challenges and opportunities ahead. Throughout the programme and during the plenaries, participants will examine the pathways to building a more resilient, inclusive Europe that can thrive in an increasingly complex, global landscape.https://www.uaces.org/liverpool.

Duties and responsibilities
Key Responsibilities

 
Delegate Services & Registration
• Welcome and registration support: Provide warm, professional greetings and assist with delegate check-in processes
• Query resolution: Answer delegate questions about the programme, venues, local area, and logistics
• Problem-solving: Escalate complex issues to LJMU Organising Committee or UACES staff while handling routine inquiries independently
 
Venue Operations & Room Management
• Session room preparation: Ensure all meeting spaces are clean, properly configured, and welcoming before each session
• AV equipment monitoring: Conduct basic checks of microphones, projectors, and laptops; coordinate with the technical team for complex issues  
• Signage and wayfinding: Maintain clear directional signage and help delegates navigate between session rooms /buildings
• Resource management: Replenish supplies including water, materials and chairs
 
Speaker and Session Support
• Speaker hospitality: Provide water, technical assistance, and immediate support to presenters
• Session transitions: Help facilitate smooth changeovers between panels and sessions
• Plenary lectures: Help facilitate interactive Q&As with roving microphones
 
General
• Proactive assistance: Anticipate delegate needs and offer help before being asked
• Continuous improvement: Provide feedback to o LJMU Organising Committee or UACES staff about operational efficiency and delegate experience
• Other duties: To undertake other reasonable duties as required by the o LJMU Organising Committee or UACES Membership and Events Manager/Executive Director

Skills and experience

  • Confident and able to assist with the event. 
  • Communication skills.
  • Open to all students from the School of Law and Criminal Justice of all levels.
