Role
The University of Edinburgh is currently offering a part-time opportunity for up to 25 students to join the Help Services Team as Welcome Week Assistants. The Help Services Team supports students to use the library and provides advice to users on queries related to Library, IT, Student Finance and Student Administration functions. They produce the student ID cards for new students at the start of each academic year, and run the Card Collection Event at the Main Library. Within this role, you will welcome new students to the University of Edinburgh, help them collect their student cards and navigate the Main Library. You will create a friendly and inclusive environment, and promote the library services to these students. You can develop your communication skills, as well as play a key part of welcoming new students to the University.

You must be available to start work in Edinburgh on the 4th or 5th September 2025 and work until the 19th September 2025. Working hours listed below by each week:

  • 4th or 5th September: one hour paid training session on one of these days.
  • 6th and 7th September: 8 to 16 hours.
  • 8th to 14th September: 30 to 35 hours.
  • 15th to 19th September: 8 to 15 hours.
Students will select 4 hour shifts to make up the weekly hours above. Shifts will be: 9am-1pm, 1pm-5pm, Monday-Sunday.

This role is based on-campus, in the Main Library, in George Square. The pay for this role is £12.60 per hour, plus £2.28 per hour holiday pay. Payment is one month in arrears, meaning your payment date will be the 28th October 2025. Do not use Generative AI to write your application, applications that have evidence of using Generative AI will not be considered for this role.

Duties and responsibilities

  • Distributing student cards to new students, assisting with printing student cards as needed;
  • Managing queues and directing students at the card collection event (some queue monitoring will be outside the building), checking that those attending have made a booking for their collection slot, and advising users how to do this;
  • Answering basic enquiries on library services from students;
  • Demonstrating to students how to use the library’s printing services;
  • Assisting with handing out promotional material and social media challenge prizes.

Skills and experience

Essential criteria:

  • A current University of Edinburgh Undergraduate returning student (this post is designated for UoE student employment; therefore, you must be a matriculated student for the duration of your employment). You must not be an incoming student starting in or after September 2025. You also must not hold the position of ‘Resident Assistant’;
  • Based in the UK for the duration of the work, able to work fully on campus (we cannot accommodate individuals working overseas due to tax and legal implications), and able to attend a Right to Work Check in person before the 22nd August if you are a British or Irish Passport holder;
  • Proven ability to work in an accurate and methodical way;
  • Evidence of strong verbal and written communications skills, ability to communicate with a variety of audiences;
  • Proven ability to work independently and in a team;
  • Evidence of excellent time management skills.
Desirable Criteria:
  • Previous experience in customer service;
  • Previous experience in a student facing role at the University of Edinburgh (such as being a tour guide, ambassador, student representative, helping at open days/events, or supporting students through the Edinburgh Nightline service).
