Role

The University of Northampton is looking for a project Support Coordinator on a temporary basis to support the existing team.
 
The Project Support Coordinator delivers support activities for the University’s Transformation Office. The post holder will be responsible to the Transformation Director for coordinating, supporting, and overseeing the status of the University’s significant transformation programmes and projects, ensuring that project documentation and records are gathered, managed, and disseminated accordingly, stored correctly, and provide support to the Transformation Offices engagement activities, relations and communications within the wider context of the university.
 
 

Duties and responsibilities

• Provide project support and coordination to the Transformation Office and the Transformation Director. 

• Maintain, and support the implementation of the change management processes including templates, methods and workflows.

• Compile and disseminate reports as requested by the Transformation Office. 

• Assist as requested, in identifying trends, risks and potential problem sources within the project and programme portfolio.

• Ensure that key project documentation submitted and stored correctly for future reference, building a robust information and knowledge management archive. 

• Assist in the support of project-related activities as directed by the Transformation Director and other senior management. 

• Arranging meetings, workshops and other events for example - board and governance group meetings and attending such meeting to take notes of the meetings, log actions, record key discussion points.

• Assist in the management of key resourcing schedules and key financial information for the project and programme portfolio. 

• Tracking progress of actions outside of project meetings, liaising with action owners as required, and reporting progress to project managers, solution leads and product owners.

• Producing accurate and relevant notes and minutes of project meetings, ensuring timely production and circulation to relevant stakeholders

• Assist and engage in the department communication work as required. 

Skills and experience

Demonstrate previous experience of project support activities, with examples of proactive and pre-emptive behaviour to enable project teams to become more effective

Confident in the use of Information Technology (particularly Microsoft Word, Excel, PowerPoint, SharePoint and Project) Essential Application

Demonstrable skills in managing a diverse workload with multiple deadlines Essential Application

Demonstrated ability to assimilate new information quickly in an ever-changing environment Desirable Application

Experience of quality assurance processes and data management processes

Experience within the HE Sector Desirable Application

Experience of planning and management of communications Essential Application

Meticulous and methodical working style; a meticulousapproach to the maintenance of accurate records a highly developed organisational and planning ability

Excellent team working with a range of colleagues; a confident, collaborative approach to ensuring that required reports are delivered on time
