Role

Reporting to and working with the academic and administrative project management team, Step Up to Social Work, the role-holder will provide support for the administrative processes relating to the project management and student experience of the programme. In order to deliver the challenges of this role, the role-holder will be expected to demonstrate a high level of initiative, the ability to offer a confidential, first-class customer service with excellent inter-personal skills and be an integral member of the team.

Duties and responsibilities

• To provide an efficient, effective, professional and confidential administrative support service 
• First point of telephone and email contact for students and regional partners from 3 partnerships. 
• To liaise effectively and diplomatically with a wide range of internal and external colleagues, including the Lead members of the Greater Manchester and Yorkshire & Humberside Regional Partnerships, Leeds Beckett University, module leaders, academic and professional services staff and representatives from external bodies. 
• Prioritise demands and requests in order to ensure appropriate attention is given urgent issues, escalating timelines as required to meet the aims of the Project. 
• Organising and supporting regular GM Partnership meetings with the provision of a committee secretariat service. 
• Attendance when required at partnership meetings with associated travel and flexible working. 
• To work with colleagues across the University in relation to a variety of areas of activity impacting upon the Project including student admissions. 
• Responsibility for finance administration including financial invoices, expense claims etc. 
• To co-ordinate formal and informal events when required on behalf of the Project. 
• Dealing and responding to incoming correspondence with discretion and courtesy and re-directing as thought appropriate and timely. 
• To maintain and develop filing systems and operational procedures for the secure retention of information and the retrieval of such information as required.
• Supporting ongoing monitoring and evaluation activities of the programme 
• Providing support to Programme Leader as required 
• To work on own initiative to meet competing demands and to resolve problems. 
• To engage with the University’s commitment to deliver value for money services that optimise the use of resources by maintaining a cost-conscious approach when undertaking all duties and aspects of the role. 
• Comply with the personal health and safety responsibilities specified in the University Health and Safety policy.

Skills and experience

  • Have a good standard of general education, normally to include English and Maths to GCSE level (or equivalent) Grade C and above 
  • A degree in a relevant area of activity or relevant professional experience 
  • Experience of providing administrative support in a high profile, demanding environment.
  • A high level of problem-solving abilities 
  • Experience of working with confidential material.  
  • Providing excellent customer service to both internal and external customers. 
  • Excellent communication skills with the ability to present oral and written information clearly, having regard to target audience.
  • Experience of working within a management team to effectively prioritise their time and handling a wide range of activities and prioritising these effectively. 
  • Candidate should have demonstrable knowledge of office based practices and procedures in a confidential, high profile and dynamic environment. 
  • Microsoft Office Suite including management of diaries by Outlook
  • Capacity to effectively manage administration services in a highly confidential, high profile office and to manage a diverse workload. 
  • Experience of processing various administrative paperwork in relation to HR processes.
  • Experience of undertaking and managing financial processes. 
  • Ability to work constructively as part of a team and autonomously. 
  • Outstanding communication, interpersonal and networking skills.
  • Excellent oral and written skills, an excellent level of accuracy and attention to detail and the ability to work to very tight timeframes. 
  • The ability to effectively gather information and relevant background material to support managers in preparation for meetings and presentations. 
  • Outstanding customer service skills.
  • Reliability, conscientiousness and the ability to maintain confidentiality. 
  • The ability to use initiative and make effective decisions. 
  • Flexibility in relation to working outside ‘normal’ hours of business as required.
  • Proven significant administration experience in a similar role.
  • Event management

This role detail is a guide to the work you will initially be required to undertake. It may be changed from time to time to meet changing circumstances. It does not form part of your Contract of Employment.Working Pattern: 1 day per week but the support is flexible i.e. the role can be 1 set day per week, or can be split into two half days depending on business flexibility and the team.
