Role

Unitemps are recruiting for a Operations Co-ordinator within the UCL Institute of Archaeology. The role is to work ASAP and will run until 5th September 2025, part time at 20 hours per week . Payment is set at £29.33+ holiday pay per hour and the role will be HYBRID based.

Temp support required to facilitate smooth running of the UCL Institute of Archaeology as existing staff move into new roles as part of a restructure. 
 
Cover is required for 8 weeks ASAP – 5 September 2025 for 4 hours per day (preferably 11am – 3pm), 5 days per week.

Duties and responsibilities
Emergencies, risk and logistics: first point of contact for all staff and students off-site who are conducting fieldwork, especially for emergencies e.g. 

  • Illness
  • Evacuations
  • Logistics queries
  • Insurance queries
  • Risk assessments
  • Health and safety issues
‘Office’ cover: 
  • Acting as a conduit for issues and queries while staff are off-site
  • Monitoring IoA Director’s inbox and triaging enquiries appropriately
  • Managing the diary and responding to meeting invitations
  • Keeping in touch with IoA Director while he is in the field to make sure urgent and important matters are being appropriately dealt with.
 
Communications: supporting/promoting IoA media activity by posting announcements on IoA/ UCL website and liaising with VPEE to promote more widely; adding items to IoA social media accounts, etc.

Skills and experience
Essential:

  • Knowledge of university workings and systems (UCL if possible)
  • A range of practical administrative skills, including managing and responding to correspondence from affiliate academics and visitors (hosting letters)
  • Experience of and ease with trouble-shooting, working with suppliers, airlines and other transportation organisations, etc.
  • Experience of working with academic staff and students, responding to enquiries, problem-solving, etc.
  • Some experience of liaising with insurance companies/agents
  • Some experience of media monitoring, website CMS and social media content creation
  • Some experience of general office management, including the Director’s diary management

Desirable:

  • Knowledge of archaeology fieldwork administration
  • Some knowledge of HR processes and policies
