Join us in Warwick Foundation Studies and be a part of our Marketing, Recruitment and Admissions team and play a vital role in supporting our student enrolments. You’ll be the first point of contact for students and their supporters looking to enrol to our prestigious and successful programmes: the Warwick International Foundation Programme (IFP), our portfolio of Summer Schools, our Pre-Sessional English courses, and future programmes we develop.

Alongside providing this support to prospective students, you’ll be working to support the team in managing travel and event bookings for our recruitment activities, as well as supporting the communications and marketing officer with social media activity, website updates and marketing emails.

Duties and responsibilities

Recruitment and Event Support:

  • Provide the main point of enquiries from prospective students across a variety of channels with a focus on excellent customer service and conversion. This may be in person, via live chat, on email or over the telephone
  • Provide up to date qualification advice to prospective students, their supporters and other internal and external stakeholders, including clear and correct responses to enquiries that are country-specific
  • Support incoming visits from prospective students, parents, agents, representatives and sponsors including the arrangement of campus tours
  • Provide day-to-day support for our network of international stakeholders including agents, schools and universities including enquiry handling and management of online toolkits
  • Field and manage all requests relating to exhibitions (including fairs and overseas events) for the department for all course recruitment
  • Support the end-to-end organisation and implementation of face-to-face and virtual Open Days, webinars, taster lectures and conversion events for prospective students, agents, parents and schools
  • Support with the booking and travel logistics for department staff travelling for recruitment fairs and activities.

Marketing and Communications Support:

  • Work with colleagues in Marketing, Communications and Admissions team to ensure the department is promoted effectively and key recruitment messages are tailored to each country/key markets.
  • To provide support with keeping web-based content up to date, including the student facing websites and relevant social media channels
  • To support the delivery of communications plan for key stakeholders, including by collating and coordinating the production of relevant copy and materials for students, applicants, agents and partners
  • Distribute digital and printed materials to stakeholders internally and externally
  • Monitor the use of all materials and ensure supplies are replenished as appropriate
  • Support colleagues in the Marketing, Communications and Admissions team with the creation of video and photography content
  • Maintain the department’s media library  
  • Liaise with the Customer Relationship Management Team to ensure contact data is correctly formatted and submitted post-events to facilitate follow up communications
  • Develop and continually expand the Department’s lead and stakeholder databases, undertake database cleansing and assisting in managing databases for marketing purposes and complying with UK data protection and global standards
  • Support in the delivery of communications/conversion plans using the University CRM systems
  • Maintain records of the University’s attendance at external events
  • Support market research projects into competitors’ marketing and communications activities, as well as new product offerings.

Other:

To undertake other related duties as required, providing support for WFS programmes and events, including appropriate promotions, as well as on the ground support to staff, students and teachers during programmes where requested

Skills and experience

Essential Criterion:

  • E1 Educated to A-level or equivalent
  • E2 Experience of using systems, digital platforms and databases
  • E3 Administrative experience in a busy environment 
  • E4 Experience in a customer facing role, providing excellent customer service
  • E5 Ability to multi-task and prioritise
  • E6 Ability to work independently to tight deadlines and using own initiative to solve problems
  • E7 Excellent time management skills and the ability to prioritise effectively with limited guidance
  • E8 Ability to work flexibly as part of a team, with excellent interpersonal and verbal/written communication skills with internal and external stakeholders
  • E9 Excellent IT skills and an up-to-date knowledge of Microsoft Office packages
  • E10 Excellent attention to detail with a complex workload

Desirable Criterion:

  • D1 Experience of working in Higher Education or with students/young people
  • D2 Logistics experience: organising travel itineraries and making bookings in a professional context
  • D3 Good geographical and cultural awareness, or an interest in learning the location and culture of key markets for recruitment activity
  • D4 Knowledge of websites, digital marketing, social media
