Role
Directly reporting to the Head of Staff Development the role holder will ensure a highly effective, proactive and responsive customer focussed service environment.  The role holder will also provide practical advice and support to managers and employees in line with organisational policies, with specific focus aligned to Staff Development strategy and events.

Duties and responsibilities

•    Provide administrative support for and to the Staff Development team, providing excellent customer service support.

•    Take ownership of administrative duties related to Staff Development records and data, and use that data to produce compliance and other reports to inform business functions and KPI reporting.

•    In conjunction with the Staff Development team, collate and market an annual training plan year on year producing regular calendars of events as required

•    Co-ordinate all staff development activities, including room bookings, arranging hospitality and the provision of equipment. This will also include liaison with facilitators to ensure the smooth running of events and physical set up and break down of training spaces at all staff development venues.

•    Maintain and update staff development systems of registration and data collection, including internal systems and external e-learning portals.

•    Provide customer service, operational support, and guidance to both managers and employees in connection with Staff Development activities.

•    Take minutes at staff development meetings and distribute appropriately.

•    Produce all documentation in a timely and accurate manner relating to all Staff Development activities.

•    Input data onto the HR integrated computer system and registration portal ensuring all information is accurate and up to date.

•    Produce weekly/monthly reports from the staff development database.

•     Investigate areas of ineffective systems and to develop effective changes with new guidelines and procedures for staff development administration.

•    Administer the probation process for all staff, including checking and alerting managers and individuals if documents are not received.

•    Work collaboratively with the wider HR team to ensure excellent customer service.

•    Complete and submit PO requests when necessary.

•    The post holder will be expected to undertake other responsibilities and tasks as reasonably requested by the Head of Staff Development and members of the HR Executive Team.

Skills and experience

ESSENTIAL 

5 GCSE (or equivalent) passes to include English and Mathematics.

Demonstrable administration experience.

Highly proficient in the applied use of Microsoft Office365 products.

A working knowledge of database management/administration.

Ability to provide excellent phone, e-mail, and face to face customer service.

Ability to take minutes.

Excellent communication and interpersonal skills including tact, diplomacy, and confidentiality.

Ability to deal calmly, professionally and effectively with external and internal stakeholders.

Willingness to learn new skills and engage in CPD.

Ability to solve problems creatively and resourcefully.

A flexible and proactive approach to work.

 

DESIRABLE

A level or equivalent.

Working proficiency with HTML..

Ability to work to and achieve tight and/or changing deadlines.

Good organisational skills, ability to prioritise for self and work on own initiative.
