Role

The Contracts and Services Officer is a pivotal role ensuring the safe, efficient, and compliant management of contractors and estates services across the College. The post requires strong organisational, communication, and record-keeping skills, as well as a commitment to health and safety, equality, and the welfare of students. Flexibility, professionalism, and a proactive attitude are essential for success in this role.

This is a full-time, all year round post - 8:30am - 4:30pm Monday - Thursday with a 4pm finish on a Friday.

If successful, you will be required to undergo a Standard DBS check, which will be carried out by the DMU Unitemps team.

Duties and responsibilities

Contractor Management

  • Control of Contractors: Ensure Health & Safety is considered for each job, and only competent contractors are selected.
  • Health & Safety Arrangements: Manage health and safety for contractors, including issuing permits to work, creating and updating risk assessments, and hazard notifications.
  • Compliance Monitoring: Ensure all contractor activities comply with risk assessments and method statements, both before work starts and through ongoing monitoring.
  • Contractor Selection and Induction: Oversee the selection, induction (including health and safety training), and ongoing management of contractors, ensuring compliance with value for money and tendering processes.
  • Documentation and Evaluation: Ensure all documentation is received and logged post-completion, and evaluate work as per contract review processes.

Maintenance and Record-Keeping

  • Central Records: Maintain central records of all regular maintenance and inspection works, ensuring timely and cost-effective completion in line with health and safety procedures.
  • Approved Contractors: Manage the list of Approved Contractors to streamline quoting and tendering for regular maintenance.

Estates and Project Support

  • Contracted Services Oversight: Support the Associate Principal in overseeing contracted estates services (e.g., catering, cleaning).
  • Maintenance Planning: Assist the Estates Manager in planning short- and medium-term maintenance across the estate.
  • Major Projects: Support practical arrangements for major building projects.
  • Systems Harmonisation: Help harmonise contracts and services systems across college sites.

General Duties

  • Policy Adherence: Ensure compliance with safeguarding, equality, and health and safety policies.
  • Health & Safety Responsibility: Maintain health and safety standards within own areas of responsibility.
  • Professional Development: Participate in professional development and review processes.
  • Flexibility: Undertake other duties as required by the Principal, within the general scope of the post.

Skills and experience

Essential:

  • Minimum of 2 A levels (or equivalent)
  • GCSE English and Maths (grade C or above)

Related Experience

Essential:

  • Experience in a premises role
  • Experience with tendering and procurement
  • Experience maintaining and developing data record systems
  • Experience liaising with various stakeholders
  • Experience writing reports

Skills & Abilities

  • High accuracy and attention to detail
  • Proficient with Microsoft Office, especially Excel
  • Effective and sensitive communication skills
  • Strong planning and prioritisation abilities
  • Good written and oral communication
