We’re delighted to offer an excellent opportunity for an Interim Accommodation Assistant to join our dedicated Nottingham Accommodation Team.
In the role, you will play a key part in delivering a professional, efficient and customer-focused experience. As the first point of contact for enquiries, you will provide friendly and effective support to our students, alongside completing a variety of administrative tasks through our booking system. Your contribution will play a key role in helping us maximise occupancy levels and ensure a smooth and positive experience for all our residents.

Being comfortable with digital systems, handling enquiries and working at a fast-pace are all essential requirements for this role.

Duties and responsibilities
Accommodation Service Delivery
- Support the Nottingham Accommodation Team and Accommodation Services Manager with the delivery of customer service excellence during peak demand over the summer period.
- As defined within the administrative arrangements and associated timeframes, process student applications, administer licence agreements and support with system record keeping.
- Booking system maintenance including processing room allocations, room moves, offer chasing/reinstatement, offer withdrawals and cancellation requests in line with standard operating procedures. Manually updating student records to ensure all information is accurate and up-to-date.
- Responding to customer enquires via phone, email, WhatsApp and CRM platforms in a friendly and timely manner. Where necessary enquires may need to be responded to in-person at the Broadgate Park Reception.
- Schedule viewings for our show flats, following up with warm leads to ensure offer conversion.
- Assist with chasing the non-arrivals and non-registered students, as per defined processes.
- Deposit administration, updating student statements and charges.
Events, Open Days and Student Experience
- Assist in all aspects of student recruitment, this includes open days, returner/sales events, show rounds, promotional activities and calling sales leads to boost offer conversion.
- Open Day Support – Assisting with the set-up and co-ordination of open days. Promoting UPP’s accommodation, supporting with room tours, and being friendly and approachable when answering any questions students may have during the day.
- Intake weekend – Checking students into their accommodation on the booking system, issuing keys and providing helpful support to students and parents.
Customer and colleague liaison
- Regular liaison with the customer, agents and their sponsors.
- Close liaison with the Accommodation Team, Student Support and Student Account Services at The University of Nottingham.
- Liaise and support other departments at UPP including Finance, Marketing and RSL: BGP Residence Managers, Maintenance and Front of House (FOH) teams to ensure effective service delivery for students.
Other Duties
Perform other general duties as and when required commensurate with the level and nature of the position.
Skills and experience
- Excellent administrative and sales experience, preferably in the HE Sector or similar service orientated environment
- Detailed working knowledge of Excel, Sharepoint, Outlook and other digital platforms such as bookings software and phone systems
- Excellent organisational skills
- Strong initiative and the ability to work independently and as part of a team
- Proficient with data entry including with speed
- Excellent telephone and communication skills
- Strong attention to detail and the ability to manage multiple tasks and processes simultaneously
- Ability to work in a fast-paced and busy environment during a peak lettings period

Pay Rate: £13.00Holiday Pay: £1.57
