Role

Unitemps are recruiting for an Accommodation Office Summer Assistant. This role is for a July 14th start date and has a projected end date of September 26th 2025. This is a full-time role at 36.5 hours per week. Payment is set at £16.53 per hour + holiday pay. This role will be UCL hybrid working with 2-4 days from the office and the other days from home.
 
UCL Accommodation manages over 8,000 bed spaces across 26 halls, comprising UCL owned halls and nominations agreements with partner private providers. In addition, UCL receives a quota of student rooms from within the University of London’s Intercollegiate Halls.
 
The role is based within the UCL Accommodation Office team, which manages accommodation applications, allocations and finance and the Rent Guarantor Scheme and provides an information and guidance service to students, visitors and staff on accommodation related matters.

Duties and responsibilities

  • Responsible for a variety of administrative duties, including dealing with enquires, updating student records and relevant databases and assisting with the successful operation Accommodation Office activities during the busy summer period from June to September.
  • Support a comprehensive UCL Accommodation Office service to the client base of students, visitors, contractors, staff and outside agencies, including the provision of effective information, direction and communication in a welcoming manner, face to face, by telephone, email and via social channels
  • Co-ordinate and respond to student online enquiry requests for information and support received via the Student Enquiry Management System (SID) providing information and advice relating to eligibility, applications and allocations, rent guarantees and departmental policies and procedures, in a timely manner. Dealing with related enquiries and escalating where needed. Effectively signposting and making referrals to relevant colleagues and departments on issues such as welfare, maintenance, complaints, health and safety and discipline, whilst continually demonstrating the ability to maintain confidentiality.
  • Assist with the management of shared mailbox to ensure efficacy of the email harvesting process.
  • Operate and understand UCL databases including StarRez, SID, MyFinance and SITS/SAMS for which training will be provided
  • Maintain records in accordance with UCL’s policy on General Data Protection Regulation (GDPR).
  • Contribute to team meetings• Actively support and participate in customer experience initiatives
  • Participate in Open Days, arrival weekends and induction sessions including the International Students Orientation Programme (ISOP), as required

Skills and experience

Qualifications, experience and knowledge

  • Educated to A-Level standard or Equivalent - Essential
  • Experience in a customer service role, preferably in an office environment, with experience of routine administrative processes - Essential
  • Computer-literate, experienced with MS Office software packages, including word processing and the use of spreadsheets - Essential 
  • Experience of working in Higher Education - Desirable 
  • Experience of working in an accommodation related role - Desirable 
  • Experience of bookings systems and procedures, e.g. StarRez, or student information systems e.g. SITS - Desirable

Skills and abilities

  • Excellent customer focused interpersonal skills: able to clearly and effectively interact with students, colleagues and external individuals or groups - Essential 
  • Excellent written and verbal communication skills with a good command of English language - Essential 
  • Strong organisational skills and the ability to prioritise in times of competing demands - Essential
