Role
To provide high-quality day-to-day service provision in the Chemistry Stores. Assisting in the daily running of the facility. This will include receiving goods, maintaining records and provision of a counter service, assisting other Stores Staff under the direction of the Chemistry Stores Manager, and ensuring a safe working environment and general tidiness of the Stores.
This role will primarily be based in the Chemistry Stores, but you will occasionally be expected to support other areas in the department as required, such as the Research Support team, particularly during periods when those areas might struggle to provide agreed service levels due to staff absences.
This is a temp role for 8 weeks.
Duties and responsibilities

- Provision of the Stores counter service (both in the department’s main Store as well as the Solvent Store) using the SAP computer system to manage stock items.
- Overseeing deliveries, assisting delivery drivers when required, and ensuring that goods are handled safely and are appropriately labelled and stored.
- Checking in goods on arrival from suppliers; matching specifications against the original purchase order, authorising receipt of goods correctly delivered via SAP and querying any discrepancy with suppliers, following up on incorrect deliveries, outstanding items etc., to ensure departmental customers receive the goods they have ordered on time and within specification.
- Issuing solvents and accepting returned waste solvents in accordance with departmental processes and procedures. Once suitable training has been given in the safe handling of chemicals.
- Checking stock levels against computerised levels; restocking as necessary from suppliers or the Department’s own external storage areas. Pre-releasing orders and order consolidation in Opera, including checking that order requisitions are compliant with Procurement processes and financial procedures prior to releasing these orders.
- General clerical duties include filing of goods receipt notes, contacting requisitioners upon receipt of goods, maintaining records such as the weekly external laundry service for laboratory coats and equipment records for departmental assets received.
- Follow-up queries from staff/students wanting to track purchase order progress, contacting suppliers as necessary.
- Maintaining general stores tidiness and the safety and security of goods.
- Undertake any other duties commensurate with the grade and level of responsibility of this post, for which the post holder has the necessary experience and/or training, as instructed by the Stores Manager or Deputy Technical Services and Facilities Manager and senior members of staff. This may include supporting other teams in the Department of Chemistry (such as the wider research support team) as required.
Skills and experience
- Good general level of education (NVQ level 1 or 2 or education to GCSE level or equivalent) or experience in a similar or related role.
- Experience of working in a customer facing role.
- Experience of working within a large organisation, with its own maintenance procedures that are required in performing the task effectively.
- IT knowledge, including databases, Microsoft Office, email, and automated stock control system.
- Good oral and written skills with the ability to communicate effectively with a wide range of students, staff, and individuals at all levels.
- High degree of organisation skills and accuracy.
- A can-do attitude with a high degree of flexibility and the ability to adapt to frequently changing priorities; ability to work on own initiative.
- An ability to work collaboratively and effectively with academic and administrative colleagues, and with stakeholders outside the University when necessary.
- Previous experience of working in chemistry stores environment, inputting data to databases, maintaining and revising data would be desirable, but not essential.
- Some pre-existing knowledge of lab hazards, familiarity with chemical nomenclature and basic chemical properties, and an awareness of COSHH regulations and the relevant safe handling regulations would be desirable to aid in ensuring safe working practices, however training can, and will be given in this area.
