Role
To act as the first point of contact for HR queries, developing relationships with line managers.
Duties and responsibilities
- To providing a high quality, front-line customer focused service, with advice and support on our standard policies and procedures via phone, email and in person
- To provide advice and guidance on the application of recruitment and selection, and manage the successful delivery of all recruitment campaigns, reviewing and posting adverts, tracking and managing all compliance requirements for staff in accordance with UK Visa & Immigration, and ensuring all other compliance requirements are met.
- To provide the initial advice and support on all HR policies and procedures to staff and line managers• As part of the HR Admin Team, to own the HR administration remit for preparing all contracts required for new starters and to process all changes for existing staff and attachments.
- Liaise regularly with Payroll department, and ensure all information required for Payroll is sent on time
- Support all reward and benefits administration and requests (e.g. cycle to work, childcare vouchers) and completing all formal requests for references(employment, tenancy, mortgage)
- To manage and maintain all HR records for staff and attachments (non-staff),ensuring they are accurately entered in iTrent and that electronic personnel files are maintained and routinely cleansed
- To ensure all organisation data on structure, units, posts and positions are accurately maintained, ensuring any issues with missing data are chased up and closed.
- To process all applications for Honorary Titles, to regularly review these in conjunction with the Institutes to ensure they are up to date and any extensions have been issued
- To take high-quality notes at formal meetings and ensure that correspondence and documentation is produced in an accurate and timely manner
- To conduct maternity/paternity/shared parental leave meetings with staff, advising them of their entitlements and options in line with University policy
- To manage the induction, probation and fixed-term worker process, ensuring extensions are in place and staff have been appropriately consulted with regarding the end of their contract and on other planned exits
- To support employee relations casework by assisting in the preparation of casefiles and documents for hearings and Employment Tribunals
- To make an active contribution to the HR Team and provide support to projects, including with regard to continuous improvements, undertaking research and developing and updating HR policy and making suggestions to improve the effectiveness of HR operational procedures.
- To solve routine issues and problems with a can-do approach and ensure that any relevant issues are referred in a timely manner to the HR Business Partner for further action
Skills and experience
- Educated to a minimum of A level, or post-secondary school
- HR/Business/Administration qualification or equivalent
- Demonstrable experience of providing a high-volume HR administration/recruitment service
- Demonstrable experience of management information system or in using an HR information system
