Description
Role
To play a key role as part of the Visitor Experience team, and to maintain our high standards of service to visitors and artists alike whilst assisting in managing a successful mix of live performance, cinema, visual art, and conference activity. Tasks include; coordinating stewards, starting and monitoring shows, managing the smooth operation of events front of house and dealing with visitor comments and complaints. This role is primarily to cover holidays and sickness throughout the year, and shifts are available on an ad-hoc basis.

Warwick Arts Centre is open 363 days per year, approx 8am - 11pm daily. Shifts are split into daytime and evening (typically working 9am - 4pm, or 3pm - 11pm), however, this is dependent upon the business needs, and flexibility surrounding start and end times is required. Hours and days of work are variable, evening, weekend and bank holiday working is required.
This role is primarily to cover holidays and sickness, and shifts are available on an ad-hoc basis. This is an ongoing temporary position.
Duties and responsibilities
A variety of duties (dependent on business need for the day) may include:
- To deputise for the Licensee in their absence involving management duties for performances/events and to ensure strict compliance with conditions for public entertainment.
- Responsibility, together with support from the Operations Assistants, for the safety of all visitors and staff within Warwick Arts Centre.
- Assistance with maintaining the very high standards of customer service and appearance required in the Front of house areas, liaising with Box Office, Retail and Estates departments.
- To act in accordance with the following: Theatres Act, Data Protection Act, Health and Safety at Work Act, Disability Discrimination Act and University policy, and to maintain the security of the Box Office ticketing system with regard to the confidentiality of the personal data and financial information to which staff have access.
- Duty Management support to include responsibility for the Front of House Office and all Duty Management administration, stationery and equipment
- To liaise with Merchandise sellers and to discuss commission.
- To act as Duty Manager on daytime and evening shifts. To liaise with production staff to control the venue’s performances. To be responsible for the wellbeing and safety of the audience, and managing the front of house.
- Together with the Operations Assistants, to act as the first point of contact for visitor queries whilst the venues are open to the public.
- To make evacuation announcements and to supervise the evacuation of Warwick Arts Centre, in the event of an emergency.
- To brief Head Stewards on the details of the event in Butterworth Hall or the Theatre; including number of tickets sold, access requirements, certificate of film, running times, leafleting etc. and any pertinent details to be passed onto the stewarding team.
- To ensure all leaflets for the evening are readily available in the Front of House office.
- To debrief all stewards and record any pertinent information on the daily Show Report (to aid communication within the team).
- Administrative and other duties relating to operational aspects of Warwick Arts Centre as required.

Skills and experience
Essential
- Educated to GCSE or equivalent level or to have a demonstratable level of similar qualification or equivalent experience
- Experience of working in the Arts or related field with an interest in the Arts and Events Management
- Ability to take charge of the public in an emergency and a diplomatic, calm and positive approach to dealing with difficult situations
- To have a proven track record of delivering excellent customer service
- To have a clear understanding of Health and Safety policies, and legislations relating to public buildings/buildings of entertainment
- To be able to work on own initiative and able to work alone, making decisions to prioritise tasks when under pressure
- To have good IT skills including the ability to adapt to other departs software in addition to standard Office programs
- Experience with EPOS systems

- First aid qualification
- Customer service qualification
- Previous experience with duty manager responsibilities within an arts and/or events environment
