Role
Working across teams, the Innovation Events Officer will lead the delivery & support the development of activities and programmes within The Junction Building, and beyond.
Managing the day-to-day customer facing, scheduled events, whilst supporting the administrational activity, to enable their delivery on the ground, and to ensure a buzzing and vibrant inspiration, education and incubation environment.
Duties and responsibilities
- Leading the event management on the ground for each event, with support from other Ops Team members, and additional staff when required.
- Responsible for daily management of the space, equipment and requirements of the building for maximum innovation activity and outputs, whilst assuring fair and equitable access to facilities for attendees.
- Liaise with Event Owners (Internal & External) to collate and arrange the event requirements from enquiry stage to post event stage.
- Liaising with education, inspiration and incubation leads to identify building and space requirements for all activities.
- Providing site visits and tours to new and potential users, promoting the space and facilities available to them for their innovation activities.
- To seek out, develop relationships, engage and collaborate with students, societies, departments and external stakeholders and speakers to deliver inspirational events.
- To work with attendees, incubating businesses, external and internal mentors and organisations to ensure a varied and creative approach to innovation management for our community; seeking regular feedback and collaboration to improve and adapt our facilities, programmes and approach.
- Manage a variety of event formats including face to face, online and hybrid events. Working closely with Digital Strategy & Operations Officer to ensure effective equipment set up, supporting event speakers and organisers to aid smooth running of the events.
- Acting as the lead contact for all building and facilities, closely work with Estates on the Presentation, Maintenance, and ensuring building is fit for purpose and inspiring to visitors. Ensuring all building users are notified of any maintenance works and minimising disruption to the events and activities calendar.
- Responsible for ensuring the space meets the University Health & Safety requirements, arranging and maintaining a compliant number of First Aiders and Fire Marshalls, under the guidance of the Estates Team.
- Ensure all administration, event and calendar information is live and up to date to aid in ensuring KPI reporting data is accurate. Including close monitoring of event numbers, catering requirements, security access, accessibility requirements & cancellations, to ensure the event viability and success, regularly updating and liaising with event organisers.
Skills and experience
- Degree level or equivalent vocational achievement, preferably in administrative, hospitality area, or equivalent with significant post qualification experience.
- Significant experience in customer facing administrative role.
- Experience of innovation/ incubation outside of the HE sectors.
- Experience of dealing with a range of stakeholders at different levels.
