Role
The University of Surrey are recruiting in the Internal Engagement Office.
The purpose of this post is to support the International Engagement Office with the finance administration for the University's study and work abroad activities.
Working closely with colleagues in the International Mobility Team, the post holder is responsible for supporting with finance administration, record keeping and preparation for external audit. The post-holder will need excellent numeracy skills and the ability to work independently with a high degree of accuracy. The post-holder will also need to be prepared to work flexibly within the International Engagement office.
£13.00 per hour.
£1.57 per hour holiday pay.

Duties and responsibilities
- Support all aspects of the administration of international mobility activities, with a particular focus on documentation administration, financial grant processing and maintaining accurate and up-to-date records for students participating in international mobility programmes.
- Conduct internal audits of documentation to ensure compliance with funding and audit requirements and maintain financial records. Support reporting processes for schemes such as the Turing Scheme, ensuring alignment with audit expectations and deadlines.
- Respond to routine enquiries from outbound exchange, placement, and summer programme students, providing clear and accurate information on processes and funding.
- Assist with the collection, monitoring, and analysis of student feedback to evaluate and enhance the international mobility experience.
- Undertake any other duties that fall within the scope of the role, as allocated by the line manager following consultation.
Skills and experience
Essential
Vocational qualifications plus some relevant work experience.
Or:
Learning gained through work experience of a number of years. Will include short courses and other formal training.
Attention to detail and ability to provide accurate, concise summaries and notes.
Payment processing and audit experience.
Ability to work flexibly, under pressure and to tight deadlines, balancing competing priorities.
Experience of working in a varied administrative role.
A proactive approach with the ability to apply problem-solving skills
Planning and Organising
- Responsibility for the provision of administrative services related to supporting the implementation of international mobility activities within the International Engagement Office.
- Contractual documents must be produced within a timeline dependant on the student’s start/end date on exchange/placement.
- Plan and prioritise own work activities on a daily and weekly basis, responding to manager/team requirements in addition to own responsibilities, to ensure operational efficiency.
Dimensions of the role
- The International Engagement Office is in a central service supporting activity across the three University Faculties, working with internal and external staff and students.
- The International Mobility team supports approximately 540+ study and work placements abroad each year across a range of activities study exchanges, work and research placements, summer programmes and vacation internships, recent graduate internships and Health Sciences & Vet EMS placements. The post holder will support the administration across all of these mobility types.
- The University of Surrey has £1.2m Turing Scheme funding for 2024/25 and the post holder will support with processing student grants from this funding and conducting audit checks. We anticipate the team will process 1000+ Turing grants and 1000+ documents between May and September.
