THE ROLE

Reporting to the People Support Manager, the post holder will be responsible for undertaking a range of duties in relation to the employment life cycle, delivering an effective, professional and efficient administrative service ensuring a positive customer experience. To operate as a senior administrator, providing advice, guidance and support to internal and external customers on more complex queries. To co-ordinate a range of people processes in relation to new starters and broader employee lifecycle changes ensuring these are managed smoothly and efficiently.

The role will start as soon as possible with a current end date of 31/07/2025 - You will work on a hybrid basis working 37 hours per week.

Duties and responsibilities
Employee Lifecycle 

• Provide effective, timely and accurate administration of the employment lifecycle processes and services ensuring compliance with legislation, university procedures, departmental processes and service level agreements. 
• Develop and maintain positive working relationships with both internal and external customers, embedding a customer service ethos to ensure a positive experience for stakeholders engaging with the People Services directorate. Onboarding 
• Draft and issue contracts of employment, including Part Time Hourly Paid Lecturers using standard templates in line with our Service Level Agreement and University Policy, proactively communicating with managers and new employees throughout the 
onboarding process. 
• Liaising with the People Support specialist roles to ensure compliance with UKVI (UK Visas and Immigration), Disclosure Barring Service, legislative and policy requirements. 
• Responsible for ensuring all legally required documentation is returned by employees before confirming a start date. People 
Data Management 
• Accurately create and maintain computer-based HR records for all staff including updating working patterns, salary information and pay grades for example. Responsible for ensuring personal and contractual data changes are made in line with payroll and other relevant deadlines and to work collaboratively with Payroll to resolve any pay queries. 
• Complete data reports on a monthly basis to provide information for Trade Unions and Senior Management as required. 
• Responding to complex emails enquiries in line with the Service Level Agreement (SLA). 
Team Support and Projects 
• Collaboration with other teams and colleagues to ensure tasks are completed in line with Service Level Agreements. Taking ownership for workload and ensuring any issues are reported to the People Support Team Leader in a timely manner. 
• Involved with various projects associated with the development of the People Support Team. 
• Analyse and report trends in queries to the Team Leader. Identify and recommend continuous improvement opportunities to enhance service or efficiencies. 
• Update and maintain the relevant Connect Pages 
• Demonstrate commitment to continuing personal development, including development of skills and knowledge relevant to the role. 
• Whilst the postholder may specialise in certain areas, most skills are common across the People Support Hub to ensure greater flexibility and service resilience. Members (as deemed necessary by the People Support Manager) will undergo a process of cross training that will ensure proficient multi-skilling to achieve department objectives throughout the year and maximise opportunities to provide greater job satisfaction. 
• Therefore, as explained above this role forms part of a wider team and may be from time to time subject to change. There may be a requirement for colleagues to move across to the People Services Support Hub and work on campus to support with some duties as and when required and as determined by the People Manager.

Skills and experience

  • Experience of working in a busy customer facing office environment as a Senior HR administrator
  • Experience of co-ordinating and administrating employee life cycle processes
  • Ability to interpret HR policy and to give clear and helpful advice, guidance and solutions to customers
  • Experience of working in a compliance based environment, with particular knowledge in adhering to DBS, UKVI or equivalent regulations and legislation.
  • Experience of using a variety of IT and software solutions to produce reports, monitor and track progress
  • GCSE grade C or equivalent in English or equivalent administrative experience
  • Ability to work with a high degree of accuracy and attention to detail.
  • Strong verbal and written communication skills with the ability to build relationships with key stakeholders
  • Ability to work under pressure, organise and prioritise work to meet demanding targets and deadlines
  • Ability and willingness to work as part of a team.
  • Demonstrable commitment to provide a professional, high quality, customer focused, robust and efficient service.
  • Ability to communicate with customers of all backgrounds and at all levels within the organisation with professionalism
  • Ability to problem solve and offer effective solutions

  • Ability to work effectively in a flexible and responsive way, plan own time and manage workload ensuring that deadlines and time scales are met.
