Role

Welcome Week will return with the Arrivals Period from Thursday 25th – Sunday 28th September, and Welcome Week itself running from Monday 29th September – Sunday 5th October. Welcome Helper training is compulsory and must be attended in person on Tuesday 23rd September. 

Created in 2018 in collaboration with the University and Warwick SU, Welcome Week is designed to enable new students to make friends, adapt to life in a new environment and highlight the range of opportunities and support available for students.

Being a Welcome Helper Team Leader is a great opportunity to get paid for sharing your passion for being a student at the University, whilst meeting new people, developing key skills and being part of a new student’s first experience of Warwick. 

As a Team Leader, you will be a vital part of the Welcome Week team, becoming responsible for the on the ground operations in Welcome Week, such as supporting new students arriving onto campus, leading campus tours and assisting to deliver events. You will support a team of Welcome Helpers, recording their hours, answering queries, ensuring smooth operations, and maximising the impact of the Welcome Helpers scheme on the new student experience. It is a chance to build on your leadership skills, demonstrate your ability to build rapport and motivate a group of your peers, and quickly disseminate information. We welcome applications from Senior Warwick Welcome Service (including recent alumni), whether UK, EU or international; undergraduate or postgraduate.

To apply, you must be able to complete your Right to Work Check with Unitemps between 1st July - 18th September 2025. Please check your accommodation dates and ensure that you able to do this, in person if required, before you apply.

You must also be available to work multiple shifts between Thursday 25th Sept – Sunday 5th October and attend compulsory in-person training on Tuesday 23rd September.

Team Leaders are required to be available for the entire two-week period, although we cannot guarantee a particular number of hours. Please do not apply to be a Team Leader if you are not able to work for the Welcome and Arrivals period. 

Duties and responsibilities

Welcome Team Leaders play a vital role in supporting new students as they settle into university life.The duties and responsibilities described are examples, and are not exhaustive, of the tasks you may be required to do:

Stewardship and Staff Direction

  • To co-ordinate, monitor and support a team of Welcome Helpers
  • To motivate helpers and encourage best practice
  • To record team hours, absences, sickness and arrange cover for shifts as required
  • To supervise and organise staff breaks at fairs, tours and events
  • To model, explain and support helpers to find their shifts and undertake their duties, correcting and instructing as appropriate

Event Co-ordination

  • To support students arriving to campus, working with Residential Community Assistants and other staff as required
  • To supervise operations on the ground for your allocated area of Welcome Week
  • To act as a point of contact for the Welcome Team and Event Organisers
  • To lead pre-defined tours around campus

Adaptability, Flexibility and being Approachable 

  • Troubleshoot on the ground, escalating any issues as and when appropriate
  • To act as an ambassador for the University and Warwick SU when engaging with new students
  • To provide a friendly welcome to new students and help them integrate into life at the University of Warwick
  • To support the University and Students’ Union with events happening throughout the week – including event set up and stewarding
  • To respond appropriately to the needs of new students
  • To create an environment of inclusiveness for both home and international students 
  • To be respectful of diversity and target information and activities accordingly

Signposting

  • To explain how the Students’ Union works and encourage new students to get involved 
  • To be able to refer students to sources of information and advice. You will answer questions, talk about your experiences as a student and direct students to other sources of help

Skills and experience

We are looking for current students with the following qualities:

  • Experience of leading a team 
  • Sound judgement and ability to make decisions without direct supervision 
  • Excellent communication skills, including the ability to quickly understand information and relay to your team
  • Excellent attention to detail
  • Ability to build rapport and motivate a group of your peers
  • Sociable and keen to engage with other students from all backgrounds and nationalities
  • Good knowledge of campus, particularly support services and opportunities available
  • Customer service experience
  • Friendly, hardworking and pro-active, demonstrating a level of professionalism
  • Excellent level of spoken English (additional languages a benefit but not essential)
  • Excellent team working skills
  • Committed and reliable with excellent time management skills
  • Ability to work under pressure in a fast-paced environment, using initiative to solve problems

Desirable:

  • To have completed Intercultural Awareness Training 
  • Experience in dealing with vulnerable people
  • Social media experience and/or blogging in a professional context
  • Additional language
