Unitemps are recruiting for a UCL Accommodation Welcome Co-ordinator - Event Lead. This role is for a June 23rd start date and has a projected end date of October 19th 2025. This is a full time role at 36.5 hours per week. Payment is set at £16.53 per hour + holiday pay. This role will be hybrid working with 3 days per week from UCL campus and the rest from home.
 
Applications are now open for two exciting Welcome Project Coordinator roles within the Marketing, Communications and Experience team to help deliver our Welcome 2025 project for UCL students. These roles offer a valuable and unique experience for successful candidates or recent graduates looking to work as part of a dynamic and high-performing team.

There are two roles available: one focused on supporting of the recruitment, training, and management of our 225+ Ambassadors, and the other, supporting on the conceptualisation and delivery of Flourish, our ResLife Programme in UCL Accommodation.

The Welcome Programme consists of two weeks of events and activities designed to help students settle into their new environment. It is scheduled for September, during the period when the majority of students move into UCL Accommodation.The Welcome Coordinator – Event Lead will focus on the conceptualisation and delivery of events and activities within the Flourish ResLife programme. These activities are designed to welcome residents to their new homes, to UCL, and to encourage engagement within their new communities.

While the Welcome Coordinator – Ambassador Lead will lead the recruitment, training, and management of our 200+ Welcome Ambassadors.

These ambassadors play a crucial role in preparing UCL Accommodation for new arrivals, welcoming residents, and delivering events.

Main purpose of the job

  • Support the conceptualisation and delivery of the events and activities as part of the Welcome programme in UCL Accommodation.
  • During the lead up to September, support the Marketing, Communication & Experience (MC&E) Team to organise events and activities to be delivered at 26 sites, ensuring a consistent andequitable experience for all residents.
  • Support and build the partnership between the MC&E Team and colleagues in UCL Accommodation, to deliver an outstanding student experience.
  • Bring creativity and a fresh perspective to improving the student experience within UCL Accommodation.
  • The role requires excellent organisational and communication skills, the ability to demonstrate initiative, and the capability to manage multiple priorities simultaneously.

Duties and responsibilities

  • Co-ordinate the planning, development, and programming of Welcome events for the Flourish ResLife programme across UCL Accommodation, creating a diverse and engaging schedule that aligns with the programme's goals and enhances the student experience for residents.
  • Support event logistics and, where appropriate, take the lead in running events, while also assisting the Communications Team with marketing and promotion efforts.
  • Work in co-production with staff and other UCL students to develop and enhance student-led engagement activities.
  • Responsible for general administration activities, including equipment management (requests, ordering, and record-keeping) and event coordination (scheduling, budgeting, and resource allocation).
  • â–ª Co-ordinate the day-to-day delivery of the Welcome Programme and provide day-to-day supervision and support to the student staff delivering events.
  • Travel across campuses and halls to monitor the quality of the events being delivered, seeking improvement.
  • Track budget, staff hours, monitor and process staff timesheets.
  • Problem-solve, flag and elevate issues to managers as necessary.
  • Work as part of a team to ensure the Ambassador Team deliver an outstanding experience to students moving into halls and throughout the Welcome period.
  • Assist with regular reporting to internal stakeholders, contributing to the ongoing evaluation and enhancement of experience activities and the overall student experience strategy.
  • Identify opportunities to improve processes and project delivery with the viewpoint of developing the Welcome Programme for future years.

Skills and experience

Qualifications, experience and knowledge
  • Education to A level standard (Grade C or above) or equivalent other qualifications.- Essential 
  • Knowledge of UCL, UCL Accommodation and a passion for improving the student experience. - Essential 
  • Experience working to deadlines, as well as managing and delivering complex projects or events. - Essential 
  • Previous experience working in project coordination, events, ResLife,or similar - Desirable 

Skills and abilities

  • Strong critical thinking and problem-solving skills with the ability to make sound decisions while adapting to unforeseen circumstances.- Essential 
  • Strong verbal and written communication skills (including accurate grammar, spelling and punctuation), with high attention to detail andan ability to write and present to a variety of audiences. - Essential
