Description
Role
To provide logistical and administrative support for university representatives attending student recruitment events, and international scholarships such as the Warwick Undergraduate Global Excellence Scheme where required. To act as a first point of contact for prospective students and their supporters providing a high standard of customer service.
Duties and responsibilities
- Field and manage requests relating to recruitment events and exhibitions for the department for both Undergraduate and Postgraduate recruitment.
- Work with Student Recruitment Officers to make plans for efficient and logical trips and event plans, to ensure that the best is made of time available and allows the Student Recruitment Officer to best represent the University at visits and events/
- Make bookings and resolve issues relating to flights, taxis, car hire, hotels, and direct event logistics. Handling any queries and negotiating discounts and refunds where required to ensure we get best value.
- Monitor usage of equipment (e.g. display stands, iPads, tablecloths etc.), arrange hand over with event attendees to ensure they have everything required for a successful event.
- Liaise with external suppliers for events off campus.
- Maintain records of the University’s attendance at external events including data entry to the Schools’ database and uploads into the Azorus CRM system, to enable facilitation of follow up communications.
- To contribute to the administration of scholarships competitions.
- To provide knowledgeable and competent responses to enquiries from individual students, academic departments, and external partners about a wide range of Student Recruitment functions, via email and live chat; escalating queries as appropriate.
- To undertake other related duties as required.
Skills and experience
- Good general education with GCSEs or equivalent in English and Maths.
- Delivery of excellent customer service
- Experience of prioritisation of resources and tasks to best affect
- The ability to work collaboratively as part of a team and on individual tasks with minimal supervision.
- Logistics experience: organising travel itineraries and making bookings in a professional context
- Good geographical and cultural awareness, or an interest in learning the location and culture of key markets for recruitment activity
- Excellent written and verbal skills for communicating with internal and external stakeholders
- Strong attention to detail within a complex workload
- Experience of monitoring costs
- Excellent IT skills and an up-to-date knowledge of Microsoft Office packages, along with email and Internet experience.
