Description

Role

Student and Registry Services are recruiting Enrolment Assistants to support the delivery of UCL’s student enrolment process for the start of the 2025/26 academic year. This is a key administrative role supporting the timely and accurate enrolment of new students using UCL’s student records system, Portico. The role sits within the Enrolment Team and contributes to the successful onboarding of thousands of students each year.

Duties and responsibilities
As part of the Enrolment Team, you will carry out a series of administrative tasks using Portico, UCL’s student information system. This includes checking and updating student details, inputting passport and visa information for international students in line with university guidance, and ensuring that records are accurate and complete. You will use the Portico enrolment dashboard to enrol students and ensure data is entered efficiently and in accordance with UCL processes.

 
You will also respond to student enquiries via Portico within defined categories, providing clear, accurate written information to help students progress through the enrolment process. Any queries that fall outside of routine categories will be escalated to the Enrolment Supervisor. You will be expected to maintain regular communication with your line manager to report on progress and highlight any emerging issues.
 
During the main Welcome period, you may also be scheduled to work on campus at helpdesks to support face-to-face enrolment activity. You will be required to carry out all tasks in line with UCL’s policies and procedures, promoting equality, professionalism, and a commitment to accuracy and confidentiality at all times.

Skills and experience
We are looking for individuals with excellent administrative skills and a meticulous eye for detail. Good IT skills are essential, as well as fast, accurate typing and keyboard skills. You should be able to carry out high-volume tasks to a consistently high standard.

 
You will need to demonstrate clear written communication, the ability to follow detailed procedures, and a methodical approach to your work. The ability to learn new systems and apply guidance accurately and efficiently is essential. You must also be comfortable working as part of a team, sharing information with colleagues and contributing to a collaborative, supportive environment.

Benefits
The role is Monday-Friday, 9am-5pm in the office, based near UCL Bloomsbury Campus (location TBC) from 11 August to 26 September 2025. You must be available for this period to be considered. The first week (11-15 August) is the mandatory training week and cannot be missed. Staff may also be required to work during the weekend of Saturday 20 and Sunday 21 September, The pay for this role is Grade 5, Spine Point 16 (£16.53 per hour plus £3.09 holiday pay).
