Description
Role
To provide high quality administrative support to the Communications team within Development and Alumni Engagement (DAE), working collaboratively with internal colleagues from DAE, and colleagues across the University to deliver the alumni engagement strategy
Duties and responsibilities
1. Alumni engagement administration support
- Effectively manage the alumni resource account to ensure all emails are answered in a timely manner, appropriately, and recorded correctly on our Blackbaud CRM database, in accordance with data protection legislation and internal regulations.
- Develop processes to manage the alumni resource account effectively. Keep the standard responses document up to date.
- Be the first point of contact for alumni queries via telephone. Deal with queries effectively and in a timely manner.
- Process and issue alumni swipe card applications on a weekly basis and post the cards to alumni promptly.
- Carry out ethics checks on any alumni that we engage with through volunteering opportunities to ensure values of the university are reflected. Ethics checks must be completed if activity with an alumni or supporter involves them representing Warwick in any official capacity or acting as an extension of a Warwick team.

Skills and experience
Essential
- Educated to A level standard (or equivalent) and GCSE Mathematics and English to minimum Grade C (or equivalent)
- Previous office/administrative experience, preferably within a customer service position
- High standard of written and spoken English
- Excellent interpersonal, communication and customer service skills
- Effective team-working skills, with the ability to work both independently and collaboratively
- High level of accuracy and attention to detail
- Excellent administrative and organisational skills, including the ability to plan and prioritise to meet tight deadlines
- Excellent IT skills, including Word, Excel, Outlook and use of the internet, including the ability to adapt to new software
- Well-developed organisational skills
- Confident communicator with good interpersonal skills, the ability to liaise and work effectively across a variety of stakeholders
- Ability to communicate confidently with people at all levels.
Desirable
- A recognised qualification in marketing or a related area
- Experience of using CRM databases
- Experience of working within alumni engagement, communications, delivery and management.
- Knowledge of Data Protection
- Knowledge of web-editing and basic html skills.
