Role
We are looking for a professional candidate to join our team as an Administrator/Receptionist. This role will be on an ongoing basis and is expected to continue to 12 months. The hours are 7:30am to 3:30pm Tuesdays and Thursdays with extra hours to cover absence and leave within the team. 

 
This position is predominately based in our test centre reception area. You are required to welcome candidates to the test centre and provide varied technical and administration assistance to the Competence Test Centre (CTC).

Duties and responsibilities
Principal Duties and Responsibilities

 
•To check all visitors and candidates into the centre via reception.
•To take their Photo ID and save on the system along with checking their ID and providing them with their name badges.
•To support the full candidate journey by ensuring candidates have full access to all learning materials pre-test date with support from the CTC Senior Administrator.
•To ensure the test centre is appropriately stocked for stationery.
•To keep up to date the shared CTC calendar ensuring all information in correct and accurate.
•To follow set processes for the Competence Test Centre and in line with Nursing & Midwifery Council (NMC).
•To work alongside with the Senior Administrator and Assessors to ensure clear communication of bookings and that any issues are dealt with and/or raised in a timely fashion.
•To ensure both CTC email inboxes are efficiently managed day-to-day.
•To ensure accuracy whilst booking large numbers of candidates for testing and cross-referencing payment confirmation, through the relevant systems, and that candidates are scheduled using initiative with the data that is presented.
•To provide excellent customer service to candidates, internal and external colleagues as well as to our partnered professional bodies.
 
Generic Duties and Responsibilities
 
•To ensure that the reception area of CTC is properly managed.
•To ensure all confidential waste bins are clean and readily available.
•To ensure all candidates are checked into the system in readiness of their exams.
•All candidates’ photos are taken on the day and stored on the candidate folder.
•Electronic folders set up for all candidates in time for their exam and cross referenced with the exam registers.
•To ensure all exam paperwork scanner is completed with no errors and stored in the electronic folders.
•To assist the CTC Senior Administrator in test day preparation, including printing schedules.
•To answer general enquires from candidates and Trust for booking Part 2 of the Test of Competence via email or telephone.
•To effectively deal with complex queries in a timely manner.
•The post holder will be expected to undertake other responsibilities and tasks as reasonably requested by the line manager.
 
• The post holder may be required to participate in Open Days, Welcome Weekend and other key University events that may be outside the working week.

A-Levels or equivalent

Experience of working in an office environment supporting administration tasks and liaising with clients

Excellent effective and clear communication skills

Experience of communicating with a range of people both internally and externally

Able to operate as an individual, organising and planning own work activities with minimal supervision to contribute to the achievement of the Competence Test Centre

Ability to deliver a range of technical and administrative services in support of existing systems

Able to plan and prioritise own work activities for weeks ahead to ensure operational efficiency, responding to new pressures including those from non-standard work and work unit requirements.

To be able to work in a busy office environment where several tasks are managed on a daily basis

It is vital that the successful candidate is extremely punctual and able to arrive early in the morning due to the nature of the role. Please consider your ability to arrive on time during the days stated when making your application.
