Role
Main purpose of the job
The post holder will provide comprehensive administrative support to the ARC Director, Head of Operations and Project Manager to deliver the core day to day activities of the ARC. The role offers an exciting opportunity to work with senior leaders in research and healthcare, and with patients and the public, in a supportive and dynamic working environment.
The post holder will work closely with members of the ARC core operational team, to support their activities. They will be responsible for communicating informationacross the infrastructure, collecting and collating information for monitoring and reporting purposes, providing administrative support for ad hoc and ongoing initiatives, supporting internal and external events, and arranging meetings, travel and accommodation.
Duties and responsibilities
- Provide comprehensive administrative support for the core day to day activities of the ARC (e.g. annual reporting, monthly theme meetings, EDI initiatives, data assimilation etc).
- Provide administrative support for ongoing and ad hoc initiatives.
- Communicate with ARC stakeholders at all levels of seniority.
- Assist with collection and collation of data for study monitoring and reporting purposes.
- Manage and update research programme databases.
- Identify potential improvements to existing systems/ processes.
- Support the organisation and delivery of internal and external ARC meetings and events.
- Support digital communications.
- Manage shared email inboxes and calendars.
- Organise travel, hotel accommodation and purchasing.
- General administrative duties including setting up meetings, preparing agendas and minute taking.
Other duties:
- Co-ordinate own work with others to avoid conflict or duplication.
- The post-holder will actively follow UCL policies including Equal Opportunities and Race Equality policies.
- To act as a Fire Evacuation Marshall as required and maintain an awareness and observation of Fire and Health & Safety Regulations.
- Carry out duties in a resource-efficient way and actively support UCL’s Sustainability Strategy.
- The post-holder will carry out any other duties as are within the scope, spirit and purpose of the job as requested by the line manager, PI or Head of Department.
Skills and experience
Qualifications, experience and knowledge:
- Educated to A Level standard, or equivalent, or having acquired substantial relevant working experience.
- Experience of working in a complex organisation or collaboration with multiple internal/external stakeholders.
- Experience of working in a similar professional services role, preferably in an Academic environment, and working with researchers.
- Proven administrative experience including organising meetings, taking notes, writing minutes, and undertaking PA-type support.
- Experience of establishing and managing data capture systems and processes, producing reports, and identifying and proactively implementing improvements.
- Experience of taking proactive steps where you see an opportunity to fulfil a need, or a system/process that could be improved
Skills and abilities:
- Ability to organise meetings, events and logistics efficiently and with minimum supervision.
- Project management and organisational skills, including the ability to work effectively on numerous projects simultaneously while maintaining close attention to detail.
- Ability to work in a multi-professional team and collaborate and communicate with senior academics and NHS staff.
- Excellent communication (written, oral and digital e.g. website updates, social media) and interpersonal skills.

- Experience of academic research grants and administrative systems.

Location
UCL; hybrid working with 3 days from the office and 2 from home
