Role

The Warwick Education Conference is a significant annual event in the academic calendar at the University of Warwick. It is an in-person event, complemented by asynchronous activities, that allows staff and student colleagues to come together as an educational community to connect, share and inspire each other through a variety of presentation and discussion-based sessions. The event aims to enhance the teaching and learning experience here at Warwick and it will take place on Thursday 5th June 2025.

We are seeking two undergraduate students to undertake the role of Conference Support Assistant. This role will involve supporting the conference team on the day of the conference (Thursday 5th June 2025) with activities such as welcoming attendees, distributing name badges, providing information about the event schedule and venue, supporting the event setup and co-ordination, answering questions and directing attendees to appropriate sessions.

We would like our Conference Support Assistants to embody an open, friendly, and welcoming demeanour. The ideal candidates will have a positive attitude, with the ability to make attendees feel valued and at ease. A welcoming disposition, combined with excellent interpersonal skills, will be key to creating a warm and professional atmosphere at the event.

The Conference Support Assistants will meet with the Conference Convenor and Conference Administrator for a short and informal 30-minutes briefing meeting ahead of the conference day. The aim of this meeting will be to clarify expectations of the role on the day and provide an opportunity to ask any questions. The date of this meeting will be arranged with the postholders once they have been appointed. 

The Conference Support Assistants will be supported on the day by the Conference Administrator and other members of the conference team. 

Please note, for this role you must be available to work from 8.30am to 4.30pm on Thursday 5th June 2025. 

Duties and responsibilities

Specific responsibilities will include:

  • Supporting the conference team on the registration desk.
  • Welcoming attendees as they arrive.
  • Distributing name badges.
  • Providing information about the event schedule and venue.
  • Supporting the event setup and co-ordination.
  • Answering questions and directing attendees to appropriate sessions.
  • Helping with pack-up and feedback collection from attendees.
  • Supporting the conference team with general administrative duties.

Skills and experience

Essential skills:

  • Studying at undergraduate level at Warwick.
  • Good communication skills: ability to interact clearly and professionally with attendees, speakers, and team members.
  • Good organisational skills: capable of managing multiple tasks, schedules, and details efficiently.
  • Interpersonal skills: friendly, approachable, and able to resolve issues with tact and patience.
  • Problem-solving abilities: quick thinking and resourcefulness to handle unexpected situations or challenges during events.
  • Teamwork: willingness to collaborate and support colleagues to ensure the success of the event.
  • Attention to detail: ensuring everything, from materials to attendee registration, is accurate and well-prepared.
  • Event-related experience: prior work or volunteer experience in event coordination, hospitality, or customer service.
  • Administrative experience: background in handling administrative tasks, such as managing schedules, documentation, or registration systems.
  • Customer service experience: roles where you’ve dealt with guests, clients, or the public in a professional and engaging manner.

Desirable skills:

  • Technical proficiency: familiarity with using audio-visual equipment and presentation tools.

Location
The 30-minutes briefing meeting will take place either online via MS Teams or in a central location on campus. This will be negotiated with the postholders once they have been appointed. The Conference event will be taking place in Ramphal Building
