Role
Unitemps are recruiting for a Operations Administrator. This is a full-time role at 36.5 hours per week. This role is for April 28th start date and has a projected end date of until July 31st 2025. Payment is set at £18.88 per hour + holiday pay. This role will hybrid working with 4 days per week from the office.
Main purpose of the job
The Operations Administrator will work alongside colleagues to provide professional services to the Department, including for example staffing support, and operational and events support.
The professional services team are responsible for the day to day running of the department, including HR, Finance, research and education support, and space planning.
Duties and responsibilities
Staffing Administration
- Assist with recruitment, including preparation of job descriptions and person specifications, advertising vacancies, managing applications, pre-employment checks, and processing and arranging interviews.
- Provide advice on the correct format for advertisements, draft advertisements for staff based on information given.
- Use UCL’s e-recruitment system to post advertisements and update applicants’ statuses as appropriate.
- Manage job applications, drawing up schedules and sending out invitations to shortlisted candidates.
- Maintain recruitment and selection documentation for future reference and audit.
- Assist with general staffing administrative tasks using systems for staff recruitment, contracts, and monitoring appraisals and probationary meetings.
- Arrange and deliver inductions for departmental staff, visiting and honorary staff, in line with local induction processes.
- Use HR Systems to submit new and changes to contracts, one-off payments and record sick leave.
- To initiate payroll payments to student demonstrators/helpers and external lecturers.
- Maintain appropriate records of staff with visa requirements.
- To ensure line managers are informed and comply when probationary documents and appraisals are due and ensure timely completion of these to HR Services and the Departmental Manager.
- Monitor contract end dates and probationary completion dates.

Skills and experience
Qualifications, experience and knowledge
- Educated to A Level standard, or equivalent, or having acquired relevant working experience
- A commitment to customer focus and the need to provide an efficient, professional and effective service to the many users and contacts both internally at all levels of the organisation and externally
- Knowledge of GDPR requirements
Skills and abilities
- An excellent standard of written and spoken English
- Intermediate skill level using Microsoft Office, especially Word and Outlook
- Good interpersonal skills, which enable the post holder to tactfully and assertively communicate with others, and to develop effective, professional working relationships across UCL and externally
- Proven experience of working as a creative and proactive member of a team
- Proven consistent ability to meet tight deadlines, and to manage one’s own workload with effective prioritisation, organisation and time management skills
- The ability to deal with sensitive information in a professional manner
